Job scope:
- Under the direction of the Supervisor, provides dedicated support to the Field Service Organization and our customers.
- This includes Organize travel arrangements including travel request approval ,hotel, flights,hire car, visas, work permits, EHS matters, collecting all required supporting documents prior to dispatch etc.
- Assist to place purchase order to sub-vendors and verify invoices.
- Updates data files, personnel database, and controlled documents.
- Monitoring and updating of job planning schedule.
- Assist with Field Service assignment tracking and manpower scheduling
- Administration of quotations and purchase orders
- Assist with preparation of job-related crew letters
- Performs general office work
- Any other ad hoc requirements as specified by the incumbent's Line Manager
- Capture and input Field Service jobs associated costs (man-hours and expenses) into ERP system including collection of timesheets and expense reports.
- Assist in preparation of Sales Invoice, calculation of invoice amount as per PO definition.
- Assist to provide support to customers in all enquiries in invoicing matters
- Support to Technical Service Department for dispatching, invoicing etc.
- Maintain FSE utilization, CVs, Safety training records (e.g. BOSIET), personal information and all data pertaining to work and dispatch.
- Filing of quotation and sales invoice
- Maintains approved vendor list (AVL) including personnel details.
- Maintain and update ERP system manual, and assist in P6 system, etc.
- Support Finance and EHS for internal/externalaudit
- To support sales engineers /customers in providing all quotations
- Assist in monitoring and updating job forecast schedule
- Assisting other team members as required
Requirements:
- The job requires excellent communication skills and the ability to communicate withpeople at all levels including customers and suppliers
- Capable of working to strict deadlines and ability to react to ever-changing situationsin a fast-paced environment
- Excellent organizational skills and ability to manage several tasks simultaneously
- Able to work reliably and independently when required
- Commercial awareness
- Some experience of using ERP systems / strong Microsoft Excel skills
- Sales and purchase ledger input experience
- Understanding and appreciation of working with ISO9001 quality system
- Strong team player and high self-motivation
- Professional telephone manner
- Experience in travel arrangement, visa application
- Competence with the application of the MS-Office software package (Word, Excel, Access, PowerPoint, mail systems, Lotus Notes) and some experience of using Oracle ERP system
