The Coordinating Officer will report to the Head of Staff and support the smooth coordination of organisation-wide and operational activities. This role will involve a broad mix of administrative, project management, research, and event coordination responsibilities, with direct engagement in the daily workflows of the CEO and Chief Operating Officer (COO).
The Coordinating Officer will be central to keeping things running efficiently behind the scenes - from managing high-level calendars and preparing presentations, to facilitating meetings and supporting cross-functional projects.
The key responsibilities of the Coordinating Officer's office are to:
Executive Support & Coordination
- Support the Head of Staff in coordinating strategic and operational activities across the organisation, fostering organisational effectiveness and clear internal communications
- Manage and maintain the calendars and scheduling for the CEO and COO
- Prepare meeting agendas, take minutes, and ensure timely follow-ups on action items
- Draft correspondence, reports, and other documents as required
- Support the Head of Staff in board management work, such as organising and preparing for Board meetings, minute taking, administration and liaising with our corporate secretary
Project & Operational Support
- Assist in the planning, tracking, and implementation of cross-functional projects
- Help monitor progress on key initiatives and ensure alignment with timelines and priorities
- Conduct research and analysis to inform decision-making
Communications & Presentations
- Prepare high-quality PowerPoint presentations and briefings for internal and external use
- Support communication flows between teams and with leadership
Administration & Office Management
- Manage administrative and office operations, including suppliers, vendors, and systems (as applicable)
- Organise internal and external meetings, workshops, and events
- Maintain data and documentation systems support reporting processes
General
