Job Description

Conveyancing Executive (Property / Real Estate Matters)

1. File Management

  • Open and maintain conveyancing files for property transactions (sale, purchase, refinancing, transfer).

  • Ensure all documents are properly recorded, organised, and filed in both physical and digital systems.

  • Update case management systems with relevant transaction details.

2. Conveyancing Documentation

  • Prepare and draft basic conveyancing documents such as:

    • Option to Purchase (OTP)

    • Sale & Purchase Agreements

    • Mortgage and security documents

    • Transfer instruments

    • Completion statements

    • Letters to clients, banks, CPF Board, and relevant authorities.

  • Assist lawyers in reviewing and preparing documents for signing and completion.

3. Liaison & Coordination

  • Liaise with clients, banks, financial institutions, CPF Board, and other law firms regarding conveyancing matters.

  • Coordinate with property agents and relevant parties for documentation and transaction progress.

  • Follow up on outstanding documents and completion requirements.

4. Searches & Applications

  • Conduct property and legal searches such as:

    • Land Titles Registry searches

    • Bankruptcy searches

    • Company searches (ACRA)

  • Prepare and submit applications through relevant portals such as:

    • INLIS

    • SLA

    • IRAS

    • CPF Board

    • MyTax Portal

5. Completion Process

  • Prepare completion accounts and settlement statements.

  • Assist with scheduling and attending property completion meetings where required.

  • Ensure all documents and payments are properly completed and lodged.

6. Billing & Financial Matters

  • Assist with preparing legal fee invoices and disbursement statements.

  • Track conveyancing payments including deposits, loan disbursements, and CPF payments.

  • Ensure proper recording of financial transactions related to conveyancing matters.

7. Compliance & Administrative Duties

  • Ensure all conveyancing transactions comply with regulatory requirements.

  • Maintain confidentiality of client information and legal documents.

  • Provide administrative and operational support to conveyancing lawyers.
