Organize, format, and manage tender documents and drawings to facilitate access by the costing and planning teams.
Collate and prepare non-commercial documents for both pre- and post-tender submissions in accordance with client and project requirements.
Maintain submission checklists and timelines, issue reminders to stakeholders, and ensure all documentation is complete and submitted on time.
Schedule and coordinate tender-related meetings with consultants, partners, and internal teams.
Maintain accurate and up-to-date records of tender correspondence from clients and stakeholders.
Monitor official platforms for new tender notices, addendums, corrigendum and promptly notify the relevant teams.
Provide administrative support to project teams on non-commercial matters.
Liaise with internal departments to resolve staff-related issues such as IT access, onboarding logistics, and office operations.
Maintain systematic filing, tracking, and retrieval of project-related communications and documents.
Organize project coordination meetings and maintain logs for follow-up actions, task progress, and deadlines.
Assist in the preparation, compilation, and submission of procurement-related documentation.
Support procurement team in tracking quotations, purchase requests, and delivery schedules.
Maintain databases of vendors, suppliers, and procurement correspondences.
Help coordinate internal reviews and approvals for procurement activities.
Follow up with vendors and internal departments to ensure timely processing of procurement tasks.
