Responsibilities
Team Introduction: The FSSC Contract Management Specialist will serve as the primary point of contact (POC) for Group Overseas Contract Management. This role requires a strong understanding of contract operations, compliance, and collaboration with internal stakeholders. Responsibilities include but are not limited to: Operations: 1. Contract Execution and Management: - Execute contract sealing, archiving, or voiding in the system in accordance with internal policies and guidelines. - Review contracts to ensure key contractual information aligns with system records and internal controls. - Ensure all contracts and relevant supporting documents are accurately recorded and maintained at a high quality in the system. - Process physical contract sealing and archiving in compliance with standard operating procedures. 2. Stakeholder Engagement and Compliance: - Collaborate with Sales Operations, Legal, and other relevant teams to discuss legal, financial, and business matters identified during contract reviews. - Act as a liaison between the contract management function and other departments to ensure seamless communication and resolution of contract-related issues. 3. Document Control and Archiving: - Oversee the physical contract archive in the Singapore office, ensuring proper document storage, organization, and retrieval processes are in place. - Maintain a structured and efficient filing system to facilitate timely document retrieval when requested. 4. Service Level Agreement (SLA) Monitoring and Reporting: - Track and monitor SLA performance, ensuring SLA and operational efficiency meet the company's standards. - Prepare reports and analyses on contract management operations, identifying trends, issues, and areas for improvement. 5. Process Improvement and System Enhancements: - Identify opportunities for process optimization and contribute feedback on system or workflow improvements. - Actively participate in system/process enhancement projects and collaborate with cross-functional teams to implement best practices. 6. Ad-hoc Assignments: - Assist the team lead in special projects, initiatives, and other assigned tasks as needed.
Qualifications
Minimum qualifications: - Diploma or higher qualification in Business Administration, Finance, Law, or a related field. - Strong understanding of contract lifecycle management, compliance, and risk assessment. - Excellent attention to detail, analytical skills, and ability to work in a fast-paced environment. - Strong communication and stakeholder management skills, with the ability to collaborate across multiple teams and regions. - Ability to handle confidential information with discretion and professionalism. - Proficiency in Mandarin is essential given the role involves frequent communication with Chinese stakeholders based in Chinese-speaking markets and the need to review contracts in Mandarin. Preferred qualifications: - Experience in process improvement and system optimization is a plus. Lean six sigma certification would be advantageous. - At least 2 years of working experience in contract management, legal operations, or a related field within a corporate environment. - Proficiency in contract management systems and document control software, i.e. Agiloft, Docusign, Concord, or any other similar CMS tools is highly preferred.
