- Monitor the overall progress of Alumni Database collation.
- Compile and consolidate alumni information from multiple sources (e.g. internal databases, spreadsheets, etc)
- Clean and standardise data (e.g. names, personal email and programme) and de-duplicate records to ensure consistency and accuracy
- Verify and update alumni records via email or other communication channels (Yearbook, LinkedIn)
- Track response rates and maintain proper documentation of follow-ups
- Identify data gaps and systematically follow up to improve completeness
- Assist in designing and distributing data collection forms/surveys (e.g. Google Forms)
- Ensure proper data entry and organisation into the School's alumni database
- Identify missing or incomplete information and follow up accordingly
- Assist in creating and managing data collection tools (e.g. surveys, forms)
- Maintain confidentiality and ensure compliance with data protection guidelines (e.g. PDPA)
- Assist in executing Token of appreciation for Alumni and follow up with vendors.
- Prepare progress reports for meeting updates (e.g. completion rates, response trends, data quality issues)
- Support alumni data update campaigns (e.g. Alumni Career Update)
- Assist in drafting and sending mass communications (email templates, reminders)
Requirements:
- Minimum Diploma in a relevant field or higher qualification
- Prior experiences in administration and data entry.
- Well-versed in Microsoft Office Application, especially Excel and Microsoft Forms.
- Comfortable with large datasets and able to manage repetitive administrative tasks effectively
