Job Description

Responsibilities

  • Answer and direct phone calls to ensure efficient communication flow within the office
  • Organize and schedule appointments to optimize time management for staff and management
  • Plan meetings and take detailed minutes to accurately document discussions and action items
  • Write and distribute emails, correspondence memos, letters, faxes, and forms to maintain clear communication
  • Assist in preparing regularly scheduled reports to support operational and management needs
  • Develop and maintain a filing system to ensure easy retrieval and secure storage of documents
  • Update and maintain office policies and procedures to ensure compliance and operational efficiency
  • Order office supplies and research new deals and suppliers to manage costs and inventory effectively
  • Maintain contact lists to support communication with internal and external stakeholders
  • Book travel arrangements to facilitate business trips and meetings
  • Submit and reconcile expense reports to ensure accurate financial tracking and compliance
  • Provide general support to visitors to create a welcoming and professional office environment
  • Act as the point of contact for internal and external clients to resolve inquiries and coordinate requests
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • Operate office equipment such as printers and fax machines to support daily office functions
  • Utilize MS Office applications, especially MS Excel and MS PowerPoint, to prepare documents and presentations
  • Manage time effectively and prioritize work to meet deadlines and support team productivity
  • Apply attention to detail and problem-solving skills to identify and resolve office-related issues
  • Communicate clearly and professionally in writing and verbally to facilitate effective information exchange
