HelloPhysio is seeking a Front Office Assistant / Receptionist to support our physiotherapy clinics in Singapore.
This role is suited to someone who is organised, dependable, and comfortable working in a patient-facing healthcare setting. You will help manage daily front desk operations, support appointment scheduling, handle administrative tasks, and create a calm, welcoming experience for every patient.
You will work closely with our physiotherapists and clinic team to keep the clinic running smoothly and to support high standards of patient care.
Full-time, hourly positions are available. This role may involve work at our clinic locations in Orchard Road (Wisma Atria) and Raffles Hotel Arcade, including Saturdays during clinic opening hours.

Key responsibilities
Welcome patients and visitors in a warm, professional manner
Patient follow-up and reminders: Send appointment reminders and follow up on missed appointments, cancellations or pending bookings.
Coordinate schedules across multiple practitioners and clinic locations
Register new and returning patients accurately and efficiently
Answer phone, email, and front desk inquiries in a timely and professional way
Process payments, reconcile daily collections, and help with end-of-day closing.
Support insurance claims, billing, payment collection, and receipt issuance
Help manage referrals, medical reports, and communication with insurers or referring doctors where needed.
Maintain accurate patient records and ensure administrative documentation is complete
Help monitor clinic flow so appointments run smoothly and on time
Communicate clearly with physiotherapists and other team members about schedule changes and patient needs
Ensure reception, waiting area, and treatment spaces are tidy, stocked, and presentable.
Support day-to-day clinic operations, including general front desk and administrative duties as needed
Ideal candidate
Experience in a healthcare or clinic setting is preferred
Warm, respectful, and patient-centred in approach
Strong communication and interpersonal skills
Organised, detail-oriented, and able to manage multiple tasks well
Comfortable handling administrative work with accuracy and discretion
Available to work Saturday mornings
Minimum Diploma or Degree qualification
Salary
Full-time, hourly salary: $15 per hour
