Job Title: Clinic Assistant - Outpatient Specialised Surgery Clinic
General Surgery - Focused on Thyroid, Endocrine, Hernia, Upper Gastrointestinal, Colorectal Surgeries, and Endoscopic Procedures
Job Scope / Key Responsibilities:
1. Front Desk & Administrative Duties
- Greet and assist patients in a professional and courteous manner
- Manage patient registration, appointment scheduling, and follow-up arrangements
- Answer phone and email inquiries regarding clinic services and appointments
- Maintain accurate and up-to-date patient records and medical files
- Prepare consultation and procedure rooms for daily operations
2. Patient Support
- Provide basic information to patients regarding general surgery procedures (e.g., thyroid, endocrine, hernia, gastrointestinal, colorectal surgeries, and scopes)
- Assist in pre- and post-procedure instructions and ensure patient queries are directed to the appropriate clinical staff
- Coordinate patient flow to ensure efficient clinic operations
3. Billing & Insurance Liaison
- Generate and verify consultation, procedure, and medication invoices
- Liaise with local insurance providers in Singapore to obtain Letters of Guarantee (LOGs), submit claims, and ensure coverage verification
- Coordinate with third-party administrators (TPAs) and assist patients with insurance claim documentation and queries
- Ensure accurate entry and tracking of insurance-related information in the clinic system
4. Clinic Operations
- Ensure cleanliness and readiness of consultation and procedure rooms
- Monitor and restock medical and office supplies as needed
- Support clinicians and nurses during minor procedures (where appropriate and trained)
5. Data Entry & Documentation
- Input patient records, investigation results, and surgical bookings into the clinic's EMR system (Plato CMS)
- Assist in compiling medical reports and referral letters as required
6. Team Collaboration
- Work closely with doctors, nurses, and administrative staff to ensure high standards of patient care and clinic efficiency
- Participate in ongoing training and clinic improvement initiatives
