Role
We are looking for an Operations Associate to support day-to-day client onboarding, transaction processing, fund/platform operations, and operational control functions across our business.
This role is suited to someone who is highly organised, detail-oriented, and comfortable working in an environment with strong control, documentation, audit, and regulatory expectations. You will play a key role in ensuring daily operational processes are completed accurately and on time, risks are appropriately managed, and operational processes continue to evolve in line with business and regulatory requirements.
Responsibilities
Daily Operations and Transaction Support
Ensure daily operational processes are completed accurately, in a timely manner, and in accordance with internal procedures and control standards
Support the execution, monitoring, and follow-through of subscriptions, redemptions, transfers, trades, and related transaction activity
Maintain accurate and comprehensive operational records, transaction logs, and supporting documentation
Provide timely and accurate information to clients and internal stakeholders on transaction status, trade-related matters, and operational queries, and assist in resolving issues or concerns promptly
Escalate issues, breaks, or exceptions in a timely manner and help coordinate resolution across relevant teams
Controls, Risk Management, and Governance
Support the management of operational risks by ensuring processes are performed within established controls, policies, and risk parameters
Help maintain supervisory controls and ensure they are properly documented and available for management, compliance, and audit review as required
Support the maintenance of the operations risk register and assist in conducting risk control self-assessments to monitor and assess the effectiveness of operational controls
Ensure operational activities, including trades and transaction handling, are carried out in compliance with applicable regulatory, compliance, and internal risk policies
Assist in identifying control gaps, process weaknesses, and operational risk areas, and support remediation efforts
Audit, Regulatory, and Compliance Support
Maintain processes and records to meet internal control standards and support the successful completion of internal and external audits
Assist with audit preparation by ensuring operational evidence, reconciliations, approvals, and documentation are complete, accurate, and readily retrievable
Support the management of regulatory obligations and operational regulatory matters, including coordinating responses, information gathering, and follow-up actions with compliance, management, and regulators where required
Work closely with internal stakeholders to ensure operational readiness for evolving regulatory and governance requirements
Process Documentation and Continuous Improvement
Continuously update standard operating procedures (SOPs), process notes, and end-to-end operational flow documentation to reflect current practices and control requirements
Identify and implement process improvements to enhance the efficiency, accuracy, scalability, and control environment of operational processes
Participate in ongoing efforts to improve systems and operational workflows to support new business, product, client, and regulatory requirements
Help standardise and strengthen operational practices across onboarding, transaction support, controls, and reporting activities
Support production verification testing to ensure systems operate as intended after deployment
Client Onboarding
Coordinate the onboarding and account opening of Accredited Investors and Institutional Investors
Conduct periodic Customer Due Diligence (CDD) reviews for existing clients, perform Enhanced Customer Due Diligence (ECDD) where required, and ensure compliance with internal procedures and applicable standards
Perform client screenings, including sanctions, Politically Exposed Person (PEP), and adverse media/negative news screening
Advise and coordinate with front office teams on CDD requirements, including identifying gaps or deficiencies in onboarding documentation and following up on remediation
Assist in maintaining records and databases to support annual Foreign Account Tax Compliance Act (FATCA) and Common Reporting Standard (CRS) reporting obligations
Act as a dependable point of coordination for day-to-day operational matters and contribute to a high standard of client service
Requirements
At least 2 years of experience in operations, client services, fund operations, trade support, middle office, onboarding, or a similar financial services/fintech operations role
Strong attention to detail and ability to execute recurring processes accurately and within deadlines
Experience working within a controlled environment with audit, compliance, and regulatory expectations
Good understanding of operational risk, process controls, and the importance of documentation and evidence
Comfortable maintaining trackers, SOPs, process flows, and transaction records
Strong written and verbal communication skills, with the ability to coordinate across multiple internal and external stakeholders
Proactive, organised, and comfortable working in a fast-paced environment with evolving systems and processes
Preferred / Nice to Have Experience
Experience in fund operations, capital markets, investment operations, wealth platforms, or fintech operations
Familiarity with client onboarding, KYC/AML, reconciliations, transaction support, and audit/compliance workflows
Experience supporting audits, regulatory reviews, or control testing exercises
Exposure to digital assets, tokenised products, or technology-enabled financial products
Prior experience working with product and engineering teams on testing and implementation
What Success Looks Like
Daily operational tasks are completed accurately, on time, and with appropriate supporting records
Operational controls are maintained and clearly evidenced for management, compliance, and audit purposes
Client and transaction queries are handled promptly and accurately
Risk issues, control gaps, and process exceptions are identified early and addressed appropriately
SOPs and process documentation remain current and reflect actual end-to-end workflows
The operations function contributes actively to stronger systems, better controls, and more scalable processes over time
