Key Responsibilities
- Welcome visitors and manage reception duties including visitor registration, access passes, and handling incoming calls. Notify relevant staff promptly of visitor or parcel arrivals
- Coordinate meeting room bookings and prepare rooms for meetings, trainings, or events. Ensure the reception area, office, and pantry are neat, organized, and presentable at all times
- Provide general administrative support including filing, data entry, preparing monthly newsletters, processing office and pantry orders, handling invoices, and assisting with reservations
- Assist in organizing internal office events, including coordinating decorations, catering, and logistics
- Manage incoming and outgoing mail, courier services, and packages. Arrange local and international deliveries (e.g., DHL) when required
Requirements
- Proficient in basic computer applications (e.g., Microsoft Office)
- Good communication and interpersonal skills
- Professional appearance with a positive and welcoming attitude
- A proactive team player who is organized, reliable, and eager to learn
