This position is primarily focused on providing executive secretarial support to the CEO and other members of the C-suite (CxOs) at the APAC headquarters of a Japanese IT company. Approximately 80% of the role consists of executive assistant and secretarial responsibilities, including calendar management, meeting and travel arrangements, document preparation, and stakeholder coordination. Through these activities, the successful candidate will play a key role in ensuring the smooth and effective operation of the executive team.

Job Responsibilities
1. Executive Secretary Support
Prepare, manage, and maintain documents, reports, presentations, and other business materials.
Coordinate and organize internal and external events, meetings, and conferences.
Manage calendars, schedules, and appointments for the CEO and C-suite executives (CSO, CFO, CTO).
Provide proactive administrative support to ensure the CEO and executive team can perform their duties efficiently and effectively.
Act as a professional point of contact and liaison for internal and external stakeholders.
2. Sales Planning Support
Provide administrative support for sales planning and marketing activities.
Prepare business reports, presentations, and supporting materials.
Assist with routine sales planning tasks and documentation.
Support data management, reporting, and general coordination related to sales and marketing initiatives.
Requirements
Excellent verbal and written communication skills in both English and Japanese, with the ability to liaise effectively with stakeholders in Japan and headquarters.
Minimum 3 years of experience in a secretarial, executive assistant, or similar administrative support role.
Previous experience working in a Japanese company is highly preferred.
