As a Business Support Executive in the bus industry, you will be responsible for providing administrative and operational support to ensure the seamless functioning of the organization. You will work closely with different departments and play a vital role in maintaining productivity, customer satisfaction and compliance with industry regulations.
Responsibilities
- Manage transport operations for multiple international and local schools to deliver efficient daily service aligned with client instructions
- Collaborate with the Business Support Lead to plan and optimize departmental annual budgets, developing strategies that support organizational growth
- Resolve Transport IT system queries to maintain smooth operational workflows and support stakeholder needs
- Coordinate with the finance team to manage accounts receivable processes, ensuring accurate and timely financial transactions
- Support the implementation of Transport IT systems across various stakeholders to enhance operational efficiency
- Administer local school subsidies by liaising with relevant parties to ensure compliance and proper allocation
- Assist the Business Support Lead in preparing contract tendering documents to support business development initiatives
- Verify and resolve payment issues promptly, including subcontractor invoices, bus attendant salaries, and bus fare collections, to maintain financial accuracy
- Perform additional ad hoc duties as assigned by the Business Support Lead or Head of School to support organizational objectives
Preferred competencies and qualifications
- Diploma, Degree, or equivalent qualification
- Minimum 2 years of operational experience, preferably in subcontractor or driver management
- Experience in the private bus industry is preferred
- Familiarity with working in a school environment
- Demonstrated ability to work effectively as a team player with strong interpersonal skills
- Proactive initiative and a strong sense of ownership in task execution
- Proven problem-solving and organizational skills to manage multiple priorities
- Ability to prioritize and multitask between operations and customer service responsibilities
- Availability to start work as early as 0630hrs
- Ability to work in a fast-paced environment with a 5-day work week
- Capability to commute between school and office at Ubi during working hours as needed
- Strong communication skills to liaise effectively with stakeholders
