Job Summary
The Business Operations & Finance Executive supports daily operations by managing finance, administration, and business activities to drive efficiency and commercial success in a fast-paced environment.
Responsibilities
- Prepare client invoices, develop payment schedules, and track receivables to ensure timely collections
- Coordinate with external accountants, tax agents, payroll providers, and corporate secretaries to maintain compliance and accurate financial records
- Manage expense claims, reimbursements, vendor payments, and maintain organized documentation for audit readiness
- Support budgeting processes, prepare monthly financial reports, and monitor cash flow for informed decision-making
- Organize contracts, agreements, and internal approval workflows to streamline business operations
- Coordinate travel bookings, manage calendars, schedule meetings, and support executive time management
- Assist with project management by tracking progress and facilitating cross-border business activities
- Identify and implement improvements to internal processes, reporting systems, and administrative workflows to enhance operational efficiency
- Support management in business planning, preparing presentations, and executing ad hoc projects to meet strategic goals
- Liaise professionally with partners, clients, and service providers to foster strong business relationships
Required competencies and certifications
- Diploma or Degree in Business, Finance, Accounting, Economics, or related field
- Minimum 2 years of experience in operations, finance, administration, consulting, or a similar role
- Proficient in Microsoft Excel, PowerPoint, and Google Workspace
- Strong written and verbal communication skills in English
- Ability to work independently in a fast-paced entrepreneurial environment
- Strong organizational skills with excellent attention to detail
- Good understanding of invoices, budgets, and business documentation
- Positive attitude, discretion, and strong sense of ownership
Preferred competencies and qualifications
- Experience in startup, media, entertainment, agency, or international business environments
- Familiarity with Singapore corporate compliance and finance processes
- Additional language skills are a plus (languages not specified to avoid bias)
