We are looking for a Business Operations & Administrative Executive

Summary

We are looking for a reliable and organized Business Operations & Administrative Executive to support day-to-day operations across finance administration, HR coordination, logistics, grants, and office activities. The role requires strong attention to detail, good communication skills, and the ability to manage multiple tasks independently in a fast-moving environment.

Key Responsibilities

Finance & Administration

  • Handle invoicing and follow-up on accounts receivable.
  • Coordinate with our accounting firms on bookkeeping and monthly closing.
  • Support annual audit preparations and address ad-hoc finance queries.
  • Categorize project and employee expenses.
  • Prepare basic cash-flow projections and track updates.
  • Support administrative tasks for subsidiaries when necessary.

HR & Recruitment

  • Manage job postings, collect CVs, and coordinate interviews.
  • Support onboarding of new employees and interns.
  • Maintain HR-related QMS documentation, including training and records.

Operations & Logistics

  • Coordinate logistics for production, prototyping, and suppliers.
  • Maintain the Approved Vendor List (AVL).
  • Track small operational tasks and ensure follow-ups.

Grants & Compliance

  • Prepare and submit grant applications (ESG, CCP, MRA, etc.).
  • Manage documentation, reporting, and compliance for ongoing grants.
  • Support the preparation and administration of standard agreements.

Office, IT & Systems

  • Oversee office operations, supplies, and facilities.
  • Coordinate basic IT and system maintenance (MS Office, Zoho, internal tools).
  • Ensure smooth daily operations and escalate issues when needed.

Events & Marketing support

  • Organize events (quarterly), meetings (once per month), and internal activities.
  • Support marketing efforts by coordinating photos and videos for people and products.
