Job Summary
We are seeking a proactive and adaptable Japanese-English bilingual professional to support our Singapore office and assist in cross-border coordination and new business initiatives. This contract role involves delivering administrative excellence, supporting the BONDO (bonsai) business, and enabling smooth execution of new business start-ups in a dynamic environment.
Responsibilities
- Manage and execute general office administrative operations to ensure efficient daily workflows
- Coordinate with vendors, suppliers, and service providers to secure timely delivery of goods and services
- Maintain accurate documentation, filing systems, and internal reports to support operational transparency
- Collaborate with management to track and follow up on operational tasks and projects
- Facilitate communication and coordination with Japanese partners and suppliers, primarily through verbal interactions, to support the BONDO bonsai business
- Organize and support event preparation, logistics, and client engagement activities related to bonsai projects
- Track and document inventory levels to maintain accurate stock records for bonsai-related materials
- Assist in the execution and management of bonsai business projects and activities to meet client and partner expectations
- Support coordination and administrative tasks for small-scale new business initiatives, including documentation, vendor liaison, and scheduling
- Conduct research and perform follow-up activities to inform and advance new business ventures
- Monitor project timelines and ensure the smooth execution of start-up activities within set deadlines
- Liaise effectively with the Cebu office and other overseas entities to facilitate cross-border communications and operational follow-ups
- Consolidate basic reports and updates for management to support informed decision-making
- Provide flexible and responsive executive support to management, adapting to evolving business needs and priorities
Required competencies and certifications
- Fluent spoken proficiency in Japanese and English to enable effective communication with partners and internal teams
Preferred competencies and qualifications
- Diploma or Bachelor's degree preferred
- 2-5 years of experience in administration, coordination, or business support roles demonstrating organizational and multitasking skills
- Experience working within a Japanese business environment is advantageous
- Interest in start-ups, art, culture, or cross-border business is beneficial
Employment Terms: Contract position (6-12 months, renewable based on performance and business needs) with performance-based renewal and potential long-term opportunity
