Job Description

Job Summary:

This role is responsible for supporting the day-to-day building operations, facilities management, contractor coordination, compliance and improvement projects to ensure a safe, efficient and well-maintained working environment.

Key Responsibilities

1. Building Operations

  • Conduct routine inspections of the building, common areas and facilities to ensure they are safe, clean and well maintained.
  • Coordinate preventive and corrective maintenance works.
  • Monitor the performance of M&E systems and follow up on maintenance issues.

2. Contractor Management

  • Coordinate and supervise service contractors, including ACMV, electrical, fire protection, lift, plumbing, cleaning, pest control and landscaping.
  • Ensure works are completed safely, on time and in accordance with required standards.
  • Verify completed works and monitor contractors service performance.

3. Facilities & Customer Support

  • Attend to maintenance requests and feedback from internal users and tenants.
  • Coordinate rectification works and ensure timely resolution.
  • Maintain good relationships with internal stakeholders and service providers.

4. Compliance & Safety

  • Perform the duties of the appointed Fire Safety Manager (FSM) or be willing to undertake the appointment.
  • Ensure compliance with statutory requirements and coordinate regulatory inspections.
  • Support Workplace Safety & Health (WSH) initiatives and Permit-to-Work activities.

5. Administration

  • Maintain maintenance records, service reports and asset registers.
  • Prepare purchase requests, work orders and monthly facilities reports.
  • Monitor maintenance expenditure and contractor attendance.

6. Projects

  • Coordinate office renovations, upgrading and improvement projects.
  • Liaise with consultants, contractors and end users to ensure successful project delivery.
  • Monitor project progress, quality and timelines.

7. Emergency Response / Other Duties

  • Respond to building emergencies and coordinate after-hours support where required.
  • Participate in emergency preparedness and business continuity activities.
  • Perform any other duties as assigned by Management.

Requirements

  • Fire Safety Manager (FSM) certification required
  • Diploma or Degree in Building Services, Facilities Management, Mechanical/Electrical Engineering or related discipline.
  • Minimum 2–5 years relevant experience in facilities, building or maintenance management.
  • Knowledge of M&E systems, building maintenance and statutory compliance.
  • Good knowledge of Workplace Safety & Health (WSH) practices.
  • Strong coordination, communication and problem-solving skills.
  • Proficient in Microsoft Office applications.
  • Able to respond to after-office-hour emergencies when required.
