Job Description
The Assistant Project Engineer supports the management and execution of projects-primarily in the Air Conditioning and Mechanical Ventilation (ACMV) domain-ensuring compliance with project timelines, budget, safety, and quality standards. This role works closely with and supports the Project Manager throughout all stages of the project lifecycle, contributing to technical, operational, and administrative aspects of project delivery.
Job Responsibilities:
Project Planning
- Support project engineering activities including design coordination, installation, and commissioning works.
- Assist in preliminary design development and budgeting for Design and Build tenders, ensuring accurate estimations aligned with client requirements.
- Support the Project Manager in executing project management tasks, including preparing and tracking project schedules, coordinating with subcontractors, and ensuring smooth workflow execution.
Site Monitoring and Progress Update
- Assist in conducting site inspections, capturing progress data using digital forms, photographs, and checklists, and updating the central project management system.
- Monitor actual versus planned progress, track key performance indicators, and highlight potential clashes or delays to the Project Manager.
- Coordinate with drafters, procurement, and other internal teams to ensure site activities align with overall project plans.
- Support the preparation of digital progress dashboards and automated reports for management review and decision-making.
- Identify and report site-level risks, manpower constraints, or material shortages early to support timely resolution.
Stakeholder Management
- Support the facilitation of regular project coordination and review meetings, ensuring clear communication of progress, issues, and upcoming milestones.
- Liaise with subcontractors, suppliers, and internal teams to coordinate daily and weekly activities.
- Assist in handling on-site queries from clients or consultants, escalating matters to the Project Manager when required.
- Support positive working relationships with all stakeholders to encourage collaboration and problem-solving.
- Assist in organising and supporting site walkthroughs or briefings for clients, consultants, or management.
Documentation Management
- Maintain accurate and up-to-date project documentation, including daily site reports, progress records, inspection checklists, and technical drawings.
- Ensure proper filing, tagging, and archiving of documents for traceability and quality compliance.
- Assist in standardising documentation practices to support knowledge sharing and continuous improvement.
- Support the preparation of periodic project reports and updates for internal and external stakeholders.
Change Management
- Support the implementation of new processes, digital tools, and continuous improvement initiatives on site.
- Assist colleagues in adapting to new workflows and ensure consistent use of systems and procedures.
- Provide feedback on implementation challenges to help refine change strategies.
- Support monitoring of adoption rates and highlight recurring issues requiring additional guidance or support.
Risk Management
- Assist in identifying, documenting, and reporting on-site risks related to safety, schedule, quality, or resources.
- Support the maintenance of the project risk register and follow-up on mitigation actions.
- Promote a proactive, risk-aware culture among site teams and subcontractors by highlighting hazards and preventive measures.
Job Requirements
- Experience: Minimum 2 years of relevant experience in Air-Conditioning and Mechanical Ventilation (ACMV) works.
- Educational Qualifications: Diploma in Mechanical Engineering or equivalent qualification.
- Technical Knowledge: Good understanding of HVAC systems, including equipment selection, load calculations, and ductwork layouts.
- Regulatory Knowledge: Familiarity with local building codes and HVAC-related regulations.
- Project Coordination Skills: Ability to support project schedules, budgets, and resource coordination effectively.
- Communication Skills: Good interpersonal and communication skills to work with clients, consultants, subcontractors, and internal teams.
- Software Skills: Proficiency in AutoCAD and other relevant HVAC design or drafting software.
- Analytical Skills: Strong problem-solving abilities with attention to detail.
