A committee with various workgroups has been set up to drive the redesign of NHG's supply chain management from its current decentralized approach where each institution manages its own needs, to a centralized one that is managed at NHG level.
This Assistant Director role supports the Director who serves as the key Lead to the Committee on: Development of the desired supply chain management approach through appropriate consultation and collaboration with relevant industry players.
All matters of governance, compliance, and procedural efficiency relating to supply chain transformation initiatives. This role is responsible for ensuring the Committee is able to operate effectively, make informed decisions and execute key decisions that will shape the future of the organization's supply chain. This critical role involves managing all administrative functions for the Committee, facilitating communication between stakeholders, and that critical timelines are tracked and met.
This Assistant Director role requires strong leadership to manage project teams, coordinate daily operations, ensure projects meet quality standards, stay within budget and timelines, and align with strategic business goals. The Assistant Director will also support the Director in resolving operational issues and reporting project status. During the interim before the final organization structure to administer the centralized model is ready, this role will also support the Director in helping NHG to execute the necessary to realize the final chosen model of operation.
MAIN DUTIES AND RESPONSIBILITIES
1) Deliverables Tracking & Monitoring
- Maintain robust tracking mechanisms and databases to monitor the status of all assigned deliverables and milestones.
- Supporting the Director on progress updates and completion of deliverables against established timelines and performance goals.
2) Information Management, Analysis & Reporting
- Compile and summarize project data into measurable, actionable metrics and discussion topics for review.
- Prepare high-quality reports and dashboards for the Director on delivery progress, benefits realization, and performance.
- Prepare reports related to performance metrics (KPIs), transformation progress, and risk assessments.
- Facilitate efficient and transparent information flow between the Committee and the respective workgroups.
3) Resource Tracking & Monitoring
- Continually track the allocation and consumption of all resources (budget, FTEs, technology assets) across workgroups.
- Liaise with respective lead from each workgroup to gather accurate and timely data on resource expenditure and forecasting.
4) Budget Management & Reporting
- Assist in the development and presentation of the overall transformation budget and business cases.
- Prepare detailed financial status reports, tracking expenditures, identifying variances, and ensuring all financial information is accurate for Committee review.
5) Risk Management & Problem Solving
- Facilitate the resolution of complex issues and conflicts between different workgroups.
- Develop and implement alternative plans to keep programs on track if initial planning is inadequate.
- Identify potential roadblocks or risks to delivery and escalate issues to the Committee in a timely manner.
6) Meeting Management & Coordination
- Collaborate between the Committee and workgroup leads to prepare, format, and distribute meeting agendas, supporting papers, and briefing materials in a timely manner.
- Attend meetings with the Committee to accurately record detailed minutes that capture key discussions, decisions, and action points, ensuring timely distribution for approval.
7) Governance & Compliance
- Ensure all resource management standards and procedures are adhered to, upholding the highest standards of regularity, propriety, and probity.
- Maintain an organized and secure repository for all financial records, contracts, and resource management documentation.
Requirements:
- Bachelor Degree & Preferably at least 6 years of relevant experience, of which at least 3 years was in management experience leading a team (if possible, in a large organisation setting
- Preferably experienced in healthcare management, especially in the domain of healthcare operations.
- Experience in service integration related work in the healthcare is an advantage
- Strong in multi-stakeholder engagement and a clear communicator with competencies in facilitating decision-making along with senior management.
