KEY RESPONSIBILITIES
- Manage front desk duties and attend to calls, emails and walk-in enquiries for mental health services
- Support in word processing and data entry in organisation/programme related materials
- Ensure upkeep, cleanliness and maintenance of the facilities. This includes liaising with vendors on maintenance matters, upkeep of first aid supplies and fire-fighting equipment and assist in workplace safety exercises e.g. conduct fire drill evacuation in accordance with safety guidelines and regulations
- Upkeep of clients records, databases including use of shared IT platforms for centralized depository of documents and preparation of data for reporting to key stakeholders.
- Process accounts payable and receivable, raising purchase/payment requisitions, see to programmes expense tracking, month-end reconciliation
- Manage procurement and replenishment of office/programme required consumables, stationery and supplies
- Provide support for on-boarding and off-boarding of new staff/interns and administrative processing of staff training
- Provide backend support for programme delivery (e.g. managing logistics, processing sign-ups, liaison on publicity materials, preparation of presentation materials).
REQUIREMENTS
- Min. Diploma holder At least 2 to 3 years of related administrative experience
- Proficient in MS office (Word, Excel, PowerPoint)
- Team player Able to work independently
- Good communication and interpersonal skills
- Able to multi-task and work efficiently
- Self-motivated, organised and problem-solving.
