Job Summary
Assist in planning, coordinating, and executing corporate events by managing logistics, vendor relations, documentation, and administrative tasks to ensure seamless event delivery and high-quality service throughout all event phases.
Responsibilities
- Assist with event pre-planning, setup, and teardown to ensure smooth event operations
- Prepare and manage all event documentation, coordinating with Sales, property departments, and customers to maintain consistent, high-level service before, during, and after events
- Conceptualize and prepare event proposals to support event planning efforts
- Liaise with vendors, merchants, and venue partners to coordinate event logistics and ensure smooth event execution
- Source event items and suppliers, negotiating with vendors to secure cost-effective pricing
- Apply for necessary licenses and permits with relevant authorities and venues to comply with regulations
- Facilitate administrative duties to support the event team's operational needs
- Prepare and file quotations, invoices, and related financial documents accurately
- Manage multiple tasks effectively, prioritizing workload to meet deadlines in a fast-paced environment
- Communicate clearly and collaborate as a team player to contribute to successful event outcomes
- Maintain meticulous attention to detail in all event-related activities
Preferred competencies and qualifications
- Experience in corporate event management, exhibitions, or related fields (3-5 years)
- Proficiency in event management software and Microsoft Office Suite
- Experience supporting the planning, scheduling, and execution of conferences, meetings, and company-wide events
- Experience in the MICE (Meetings, Incentives, Conferences, and Exhibitions) industry
- Strong interpersonal and communication skills to build positive relationships with clients and vendors
- Proactive, resourceful, and self-motivated with a confident and conscientious attitude
