Role Description

We are seeking a highly organized and detail-oriented Assistant Project Manager to support our project management team in the successful delivery of projects. In this role, you will assist in the planning, coordination, execution, and monitoring of projects, ensuring that they are completed on time, within scope, and within budget. You will collaborate closely with project managers, stakeholders, and cross-functional teams to ensure that project objectives are met and that any issues or challenges are addressed promptly.

Key Responsibilities:

  • Project Coordination: Support project managers in the planning and coordination of all aspects of project execution, including schedules, resources, budgets, and deliverables.
  • Scheduling & Timelines: Help develop and maintain project schedules, track project milestones, and ensure deadlines are met. Coordinate with team members to track progress and adjust schedules as necessary.
  • Documentation & Reporting: Assist in the creation and maintenance of project documentation, including project plans, status reports, meeting notes, and action items. Ensure all project information is updated and accessible to relevant stakeholders.
  • Resource Management: Assist with the allocation of resources, including personnel, equipment, and materials. Ensure that resources are available when needed and that tasks are properly assigned and tracked.
  • Communication & Liaison: Act as a point of contact between the project team and stakeholders. Communicate project status, issues, and risks to project managers and other relevant parties.
  • Risk & Issue Management: Assist in identifying potential risks and issues throughout the project lifecycle and help develop mitigation strategies. Monitor ongoing project risks and report on any challenges that may arise.
  • Quality Control: Help ensure that all project deliverables meet quality standards. Monitor the progress of tasks and projects, checking for adherence to scope and requirements.
  • Client & Stakeholder Management: Support communication with clients and stakeholders, including arranging meetings, preparing updates, and ensuring their needs and expectations are met.
  • Budget Support: Assist project managers with budget tracking and cost control. Ensure that expenses are in line with project budgets and that any budget discrepancies are identified and addressed.
  • Project Evaluation & Closeout: Assist in project closeout activities, including evaluating project performance, gathering feedback, and completing final documentation. Help ensure that all deliverables are completed and that the project is formally closed.

Qualifications:

  • Educational Background: A bachelor's degree in Business Administration, Project Management, or a related field. Project Management certifications (e.g., PMP, CAPM) or coursework is a plus.
  • Experience: 1-3 years of experience in project management, coordination, or support roles. Experience in the relevant industry or type of projects (e.g., construction, IT, marketing) is a plus.
  • Organizational Skills: Exceptional organizational and time-management skills. Ability to juggle multiple tasks and ensure project timelines and deliverables are met.
  • Communication Skills: Strong written and verbal communication skills, with the ability to interact with internal teams, clients, and stakeholders.
  • Attention to Detail: High attention to detail when managing schedules, tracking project milestones, and maintaining documentation.
  • Team Collaboration: Ability to work effectively in a team environment, supporting project managers and collaborating with various departments to ensure project success.
  • Problem-Solving Skills: Strong ability to identify potential issues early on and contribute to developing practical solutions.
  • Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and project management tools (e.g., Microsoft Project, Trello, Asana, Jira). Familiarity with project management software is a plus.
  • Adaptability: Ability to adapt to changing project requirements, priorities, and timelines in a fast-paced environment.
