The Assistant Project Engineer supports the project engineering team in coordinating international inbound and outbound shipments for EPC projects and international equipment deliveries.
The role provides administrative and coordination support across project engineers, customers, vendors, freight forwarders, warehouses and logistics service providers to coordinate shipment activities from documentation preparation through warehouse inspection, collection and delivery.
This is a hands-on role suited to someone who enjoys both administrative work and active coordination in the field
Coordinate and monitor incoming and outgoing international shipments in accordance with project requirements and schedules.
Prepare, review and maintain import/export and shipping documentation, including commercial invoices, packing lists, certificates, shipping instructions and other relevant documents.
Liaise with freight forwarders, vendors and logistics providers to arrange and track shipments, collections and deliveries.
Coordinate with project engineers and vendors to ensure equipment/materials are ready for shipment in accordance with project and customer requirements.
Arrange and support customer shipment inspections at warehouses (occasionally) prior to collection
Travel to warehouses and vendor locations (occasionally) to participate in joint inspections, packing checks, quantity verification and shipment readiness activities.
Interface professionally with customers and their representatives during warehouse inspections and collection activities.
Follow up on discrepancies, documentation gaps, packing issues or other shipment-related matters and coordinate timely resolution.
Maintain accurate shipment trackers, records, inspection reports and project documentation.
Monitor shipment status and provide timely updates to project teams and stakeholders.
Assist in coordinating customs, freight and logistics requirements with relevant parties.
Support project engineers with general project coordination and administrative activities related to material movement and logistics.
Ensure shipment activities are carried out in accordance with project procedures, customer requirements and applicable import/export requirements.
Be prepared to work in a warehouse/site environment and undertake physically active tasks when required.
Qualifications & Experiences
Certificate / Diploma in Engineering, Logistics, Supply Chain Management, Business Administration, or related discipline.
Candidates with relevant work experience but different academic qualifications are welcome to apply.
Skills
Strong administrative, coordination and organisational skills with good attention to detail.
Good understanding of import/export, shipping and logistics documentation.
Good written and verbal English communication skills.
Confident in communicating and coordinating with customers, vendors, forwarders and internal project teams.
Proficient in Microsoft Office, particularly Excel, Word and Outlook.
Comfortable working in a fast-paced, project-driven environment with multiple priorities and deadlines.
Willing to travel to warehouses and vendor locations for inspections, coordination and shipment-related activities.
Comfortable working both at the desk and in the field / warehouse environments and being actively involved in inspection and shipment activities.
Proactive, responsible and willing to engage directly with different stakeholders to get things done.
Ability to work independently while also functioning effectively as part of a project team.
