Job Summary
This position provides day-to-day support to the Project Accounting team on financial activities relating to delegated APAC Projects/Services Contracts. The Assistant Project Accountant will work closely with Project Accountants and Senior Project Accountants, assisting across the Commercial, Engineering, Project Management, Bids & Proposals and Finance functions. The role focuses on accurate transactional processing, data entry, reconciliations and reporting support, while learning the broader project accounting function. The position works under close supervision, with all non-routine matters referred to senior team members.
Essential Job Duties And Responsibilities
- Provide day-to-day administrative and transactional support to Project Accountants and the wider Project Accounting team
- Assist with the preparation of project financials, reports and supporting schedules under the direction of senior staff
- Set up and maintain project numbers, budgets, ETC's and other project information in the ERP System, as directed
- Support the preparation of project billings in conjunction with the contracts and projects teams, ensuring supporting documentation is complete and accurate
- Assist with raising and processing journal entries, accruals and intercompany recharges during month-end close
- Help prepare monthly project reports and analysis in accordance with the reporting timetable
- Perform basic variance analysis and flag discrepancies to the Project Accountant for further investigation
- Assist with the collation and tracking of project costs, ensuring costs are recorded against the correct project codes
- Liaise with project and production teams on routine queries relating to time bookings, purchase orders and supplier invoices
- Liaise with intercompany contacts on routine matters to support accurate and timely financial information in project forecasts
- Assist with the preparation of supporting documentation for internal and external audits
- Support compliance activities including Sarbanes-Oxley (SOX) control documentation, under the guidance of senior staff
- Assist with the maintenance of the financial risk register on a monthly basis, as directed
- Help collate inputs and supporting data for weekly and monthly project review meetings
- Support the Project Accountants in tracking billings, retentions, debtors and cash flow at a project level
- Liaise with financial accounting on routine queries and ensure follow-ups are actioned in a timely manner
- Maintain accurate and well-organised project records, files and supporting documentation
- Escalate any unusual items, variances or issues promptly to the Project Accountant or senior staff
- Perform additional assignments and ad-hoc analysis as directed

Qualifications
Minimum Job Requirements
Essential:
- Diploma in Accounting, Finance, Business or a related discipline from a recognized institution
Desirable:
- Bachelor's Degree in an Accounting, Finance or Business discipline
Skills / Experience / Knowledge
Essential:
- 2–3 years of accounting, project finance or finance-related experience.
- Basic understanding of accounting principles, including debits/credits, accruals, journals and reconciliations
- Strong attention to detail, accuracy and a methodical approach to work
- Good written and verbal communication skills
- Good organizational skills and the ability to manage multiple tasks under deadlines
- Ability to follow instructions, take direction and ask questions where clarification is needed
- Willingness to learn and develop within a project accounting environment
- Ability to handle confidential and sensitive information appropriately
Desirable:
- Exposure to a project- or services-based environment through internships, part-time work or study
- Experience with month-end close activities or assisting in financial reporting
- Previous experience in a shared services, billing, accounts payable or accounts receivable function
Technical and Systems Skills (Essential):
- Proficient in Microsoft Excel — Basic level, including formulas (SUM, IF, basic lookups), sorting/filtering data, formatting and working with simple spreadsheets; willingness to develop towards intermediate level
- Proficient in Microsoft Word — formatting documents, working with templates, styles and tables
- Proficient in Microsoft PowerPoint — preparing and updating basic presentation slides
- Proficient in Microsoft Outlook — managing email, calendar and meeting coordination
- Comfortable learning and navigating new systems, including ERP platforms
- Comfortable working with numbers, structured data and standard templates
Technical and Systems Skills (Desirable):
- Exposure to an ERP system (e.g. SAP, Oracle, Costpoint or similar) through internships, study or prior roles
- Familiarity with Microsoft Teams and SharePoint for collaboration and document management
- Intermediate Excel skills (pivot tables, VLOOKUP/XLOOKUP, INDEX/MATCH, SUMIFS, conditional formatting)
- Exposure to Primavera P6, Hyperion, OneStream or similar tools
Other Desirable Experience:
- Exposure to the technology, defence, engineering or government-contracting industry
- Awareness of Earned Value Reporting (EVM) concepts
- Awareness of Sarbanes-Oxley (SOX) controls or working in a controlled financial environment
- Exposure to multi-currency or intercompany transactions
