Assistant Manager, MScP
The Assistant Manager will assist the Programme Director and Senior Assistant Director in managing the operational aspects of MSc in Psychology (MScP) programme, working towards the common goal of delivering a high-quality programme to students in a timely and effective manner.
In addition, the job holder is required to support other PGC programme(s) in key areas as required.
Key Responsibilities:
Programme Publicity & Outreach
Plan, coordinate and manage marketing campaigns and other promotional initiatives to raise public awareness of the programme
Plan, schedule and coordinate information sessions locally and overseas, if required.
Support programme functions and events.
Admission
Manage and support the administration of up to 400 applications per year. This includes verifying documents, preparing and consolidating key applicant details and related reports, managing applicant outcomes in GCAS, and handling appeals
Work closely with various stakeholders on admission, enrolment and scholarship matters.
Compile and prepare statistics on applications, after the application window period and during the admission cycle
Finance
Perform purchasing and claim functions in ARIBA
Assist with budget planning and tracking
Monitor expenditure and cash flow to ensure that budget is not exceeded
Support to prepare students tuition fee billing, instructors payment, students awards disbursement/refund every trimester
Support the claim process for SkillsFuture Credits
Administrative Support
Manage two role-based emails/queries from students and communications with stakeholders etc.
Assist to collate data e.g., course curriculum, graduation survey, intake numbers, financial status, etc. and prepare an annual report.
Assist instructors on administrative and IT matters, e.g., renewal of computer accounts, NTULearn, ServiceNow, classroom bookings, etc.
Provide administrative support for programme-related matters.
Assist in managing the approval process for curricula changes and new course proposals.
Assist in the development of practicum logistics and placement of students with the practicum partners.
Maintain and update records in the shared folder to ensure that information is up to date.
Assist to collate information requested by stakeholders.
Student Matters
Maintain students records and monitor students candidature status.
Requirements:
Recognized Bachelor's degree in any discipline.
Strong administrative skills, with attention to detail and the ability to track progress and ensure timely completion of tasks.
Customer service-oriented, with a positive attitude and a solution-focused approach to each situation.
Open-minded team player who readily communicates and objectively keeps the team goals in view.
Good written and verbal communication skills to handle diverse levels of stakeholders.
Ability to adapt to changing priorities.
Prior experience in programme administration would be an advantage.
Proficient in Microsoft Office (Excel, PowerPoint, Word).
Able to manage multiple responsibilities in a fast-paced environment.
Able to multi-task and work independently as well as in a team to achieve goals.
