Job Description

  • This position is for SMU Academy (SMUA).
  • Analysis of training data and generating of reports for the purposes of audits
    • Collect and compile training data from various sources, including training sessions, participant evaluations, and SSG survey feedback.
    • Analyse training data to identify trends, patterns, and areas for improvement in training delivery and effectiveness.
    • Generate comprehensive reports summarizing key findings and insights from the analysis of training data, ensuring accuracy and relevance for audit purposes.
    • Collaborate with internal stakeholders, including programme managers, program coordinators, and other supporting teams, to gather additional data and context as needed.
    • Conduct periodic audits of training programs and processes to ensure compliance with regulatory requirements, organisational standards, and industry best practices.
    • Provide recommendations for corrective actions or process improvements based on audit findings, working closely with relevant teams to implement changes and monitor outcomes.
    • Maintain documentation and records related to training data analysis and audit activities, ensuring accessibility and traceability for future reference.
  • Preparation for SSG's new Training Partner Quality Assessment (TPQA)
    • Creation of processes to ensure the successful execution and conformance of SSG's TPQA.
    • Ensure required documentation and points of contact are defined and maintained.
  • Course Application Related Processes on government digital platforms (TPGateway)
    • Collation and screening of new course application data from our training teams as they create new programmes CET Learners.
    • Creation of course application drafts and facilitation of governance/approval/audit processes.
    • Payment and Submission of applications and monitoring of application status.
    • Facilitate edits made to course applications.
    • Facilitate the retirement of programmes that are obsolete.
    • Facilitate communication with SkillsFuture Singapore (SSG) to ensure that application processes are efficient, that queries are answered promptly to facilitate quick turn-around.
    • Maintaining the SMU Academy master list of programmes for internal processes which would impact finance, reporting and audit processes.
  • Trainer Screening and onboarding
    • Vetting/Screening of trainer onboarding documents.
    • Management of trainer supporting documents for the purpose of knowledge management (Curriculum Vitae, Professional Certificates).
    • Issuance of appointment letters (Official appointment letters with fixed durations, with option to renew in the future).
    • Creation/updating of training and enablement materials to be used to onboard our new/existing trainers to improve CET trainer teaching quality.
    • Conduct training visits to gather insights and feedback on training delivery, identifying areas for improvement and implementing corrective actions as needed.
  • Preparation for SSG's new Training Partner Quality Assessment (TPQA)
    • Creation of processes to ensure the successful execution and conformance of SSG's TPQA.
    • Ensure required documentation and points of contact are defined and maintained.
  • Supervising a team of student assistants
    • Supervise a team of 4 to 7 student assistants in handling course applications and grant management processes.
    • Ensure adherence to Singapore Management University's governance processes regarding the safety and security of personal data, including managing accesses to TPGateway and conducting checks on data security.
    • Schedule student assistant staffing to ensure adequate coverage for course application and grant management tasks.
    • Maintain updated work logs and ensure timely submission of reports.
    • Provide guidance and support to student assistants in completing their tasks effectively.
    • Foster a positive and collaborative work environment among the student assistant team.
    • Conduct regular performance evaluations and provide constructive feedback for improvement.
    • Collaborate with university staff and faculty as necessary to streamline processes and address any issues that arise.
  • Curriculum Development/Management
    • Apply Strong analytical and problem-solving skill to investigate and resolve non-conformance issues in instructional delivery or content.
    • Monitor and analyse key quality metrics related to curriculum performance, such as assessment pass/fail rates, student feedback scores and external review findings to identify trends and areas for improvement.
    • Content validation of new or revised curriculum against industry standards, regulatory requirements and stakeholder needs.
  • Any other duties as required by the SMU Academy.

Qualifications

  • Degree with at least 2 years of relevant experience.
  • Adult Education Certification such as ACLP/DDLP or instructional design would be extremely beneficial.
  • Familiarity or previous experience with Education quality assurance (PQAF, QAFU, TPQA, etc.) would be advantageous.
  • Background/Experience as a trainer/facilitator would be useful (National Adult Educator Registry, or past experience teaching).
  • Experience working in or with SkillsFuture Singapore, or the Institute of Adult Education.
  • Keen attention to detail and proactive problem-solving.
  • Strong collaboration and communication skills for effective teamwork and stakeholder engagement.
