Job Description

  • This position is for School of Social Sciences (SOSS).
  • Admission and Academic Support
    • Schedule virtual admission interviews and coordinate logistics involving SOSS faculty, the Office of Admissions and prospective students.
    • Review applications for undergraduate credit exemptions.
    • Manage and track teaching/student assistant appointments & payments, etc.
    • Process major declarations and leave of absence.
    • Review applications for undergraduate academic exchange credit mapping and process credit transfers.
    • Organise logistics for local and overseas fieldtrips and courses in collaboration with faculty instructors, partner organisations, SMU-X Office and enrolled students. (This includes procurement of transport services and accommodation, tickets, collection and payment of fees, etc).
    • Manage reporting for SMU's Holistic Student Development Framework (HSDF).
    • Provide advisement to undergraduate students on curriculum and degree progression, etc.
    • Resource ad hoc requests, e.g., sourcing for venues for make-up classes, request for data, etc.
  • Student engagement
    • Plan and deliver hybrid events and activities including academic briefings for degree programmes and majors, Meet-the-Dean sessions, Senior Thesis Showcase, R-workshops, Internship & Career Briefings, Team-building events and etc.
    • Organise ad hoc student activities, e.g., peer tutoring, focus groups, surveys.
    • Serve as secondary liaison for outreach and recruitment activities, coordinating the delivery of sample classes, panel discussions (comprising faculty, students, alumni, and industry practitioners as discussants).
  • Other responsibilities
    • Provide support to deliver events and activities organised by SOSS, e.g., note-taking for faculty meetings, commencement ceremony, and etc.
    • Undertake other tasks as assigned by the school Dean and Assistant Dean (Administration).

Qualifications

  • Bachelor's degree, preferably in one of the following areas: humanities and social sciences, info-communications and digital technology, or business and management.
  • At least 3 years of relevant professional experience in programme administration, tertiary-level student management or related fields.
  • Excellent written and verbal communication skills for drafting correspondence, documents, and promotional content.
  • Methodical and meticulous in following through on procedures and compliance checks.
  • Self-motivated and able to work effectively both independently and as a team.
  • Flexible, patient, customer- and service-oriented.
  • Possesses initiative and ability to solve problems effectively.
  • Comfortable with multi-tasking and proactively prioritising tasks according to importance and urgency to meet deadlines.
  • Proficient in Microsoft Word, Excel and PowerPoint as well as Ariba, Concur and Concur Travel.
  • Able to work during evenings and weekends on an ad hoc basis (few times a year).
  • Prior work experience in institutions of higher learning is desirable.
