Job Summary:
We are seeking a detail-oriented and proactiveProperty / Operations Assistant Manager to join our property management team at a Grade A commercial building in the Central Business District (CBD).
In this role, you will be the primary operational liaison for our tenants, managing the entire lifecycle of tenant movements-from handover, incoming fit-out coordination and vendor management to outgoing reinstatements and daily facilities support until taking over upon exit. Job Responsibilities:
1. Tenant Relations & Point of Contact (Liaison Officer)
- Primary Point of Contact: Serve as the dedicated front-line liaison officer for tenants, addressing daily operational inquiries, building circulars, and general feedback promptly.
- Service Recovery: Act as the first point of escalation for tenant feedback and complaints, leading swift and effective service recovery initiatives to maintain high tenant satisfaction and retention scores.
- Onboarding & Move-Ins: Welcome new tenants, facilitate their smooth transition into the building, and brief them on house rules, building amenities, and operational procedures.
2. Tenant Fit-Out & Reinstatement Management
- Incoming Fit-Outs: Coordinate fit-out works for new tenants, ensuring all renovation activities align with building guidelines, statutory requirements, and approved timelines.
- Outgoing Reinstatements: Liaise closely with outgoing tenants to manage space handover and reinstatement processes, ensuring units are returned in accordance with lease covenants and building standards.
- Vendor & Contractor Oversight: Manage external contractors, vendors, and interior designers on-site during fit-out and reinstatement works to ensure safety compliance, minimal disruption to existing tenants, and adherence to house rules.
3. Procurement & Speculative Fit-Outs
- Procurement: Handle the procurement of materials, services, and contractor quotes for building maintenance, upgrades, and speculative (spec) fit-out projects.
- Project Tracking: Monitor project milestones, budgets, and deliverables for spec fit-out units to ensure they are market-ready on schedule.
4. Operations & Compliance Administration
- Permit to Work (PTW): Administer and review Permit to Work applications for all high-risk, ad-hoc, and renovation works, ensuring strict compliance with Workplace Safety and Health (WSH) regulations.
- Carpark Management: Oversee daily carpark operations, resolve tenant/visitor parking issues, manage season parking quotas, and coordinate with the carpark vendor/system operators.
Job Requirements:
- Diploma or Degree in Real Estate Management, Facilities Management, Building Services, Business Administration, or a related discipline.
- Minimum2 to 4 years of relevant experience in property management, tenant relations, or facilities operations, preferably within a Grade A commercial office building or high-end corporate environment.
