RESPONSIBILITIES

  • Scholarship & Financial Assistance Administration
    • Manage the endtoend administration of donorfunded and governmentfunded scholarships and bursaries for current and incoming students.
    • Administer scholarship applications, awards, renewals, and disbursements across schemes with varying eligibility criteria, tenure structures, and award conditions.
    • Coordinate closely with academic schools, the Office of Advancement, and internal stakeholders to support effective and timely award administration.
    • Facilitate scholarship offer issuance, acceptance, agreement signing, and fulfilment of donor and University requirements.
    • Provide ongoing administrative and case management support to scholars throughout the tenure of their awards.
  • Scholarship Tenure, Renewal & Academic Monitoring
    • Coordinate annual household incomebased scholarship tenure renewal exercises in accordance with approved policies and requirements.
    • Apply income assessment and renewal criteria consistently, managing renewal timelines, documentation, and internal approvals.
    • Monitor scholars academic progression each term, identify academic risks or noncompliance, and coordinate followup actions, reviews, or escalations.
    • Ensure renewal and academic monitoring outcomes are accurately documented and maintained in an auditready manner.
  • Governance, Compliance & Financial Control
    • Ensure scholarship administration aligns with university policies, donor intent, funding agreements, and MOE regulations.
    • Manage Purchase Order (PO) issuance, procurement processes, and commitment tracking in accordance with university policies.
    • Oversee CSFA asset management, including maintaining accurate asset records and coordinating asset movements or disposals.
    • Maintain accurate, complete, and auditready records and support audit readiness in a highcompliance operating environment.
    • Identify and escalate operational, procurement, or compliance issues appropriately.
  • Stakeholder Engagement, Operational Continuity & Team Support
    • Support outreach and communications to promote awareness of CSFAadministered financial assistance schemes.
    • Develop and maintain accurate, accessible, and consistent studentfacing materials (e.g. guides, FAQs, webpages).
    • Support frontline engagement by ensuring accurate and consistent responses to student and stakeholder enquiries.
    • Act as operational backup for nontuition schemes and loans to ensure continuity of operations.
    • Provide functional guidance and daytoday support to a contract staff member and contribute to continuous process improvement.
  • Any other duties assigned.
QUALIFICATIONS
  • Degree holder with at least 3 to 4 years of relevant administrative or operational experience prior experience in the education sector and/or customer service will be an advantage.
  • Prior experience with a working knowledge of financial assistance schemes, including financial aid, bursaries, and/or scholarships, will be an advantage.
  • Experience in supporting the implementation and improvement of operational processes will be preferred.
  • Strong time management and organisational skills, with the ability to plan, prioritise, and coordinate multiple tasks to meet deadlines in a highvolume operational environment.
  • Good understanding of governance, compliance, and documentation requirements, particularly in regulated or auditsensitive environments.
  • Strong stakeholder engagement and communication skills, with the ability to work effectively with students and internal stakeholders.
  • Ability to exercise sound judgement, identify risks, and escalate issues appropriately.
  • Strong interpersonal, written, and verbal communication skills.
  • Ability to work independently with guidance, as well as collaboratively as part of a team.
  • Meticulous, detailoriented, and wellorganised, with a strong sense of responsibility and followthrough.
  • Demonstrated analytical and problemsolving skills, with the ability to identify issues and propose or escalate solutions as appropriate.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint) and Adobe Acrobat.
  • Experience with Power BI and Power Automate will be an advantage.
  • Familiarity with Canva and basic graphics editing tools to support the design of emailers and outreach materials will be a plus.
