Overview

The candidate will be responsible for coordinating and managing the operational delivery of key educational initiatives within the hospital. This role supports the provision of high‑quality learning experiences for medical officers, and clinicians through well‑structured programmes and events that align with the hospital's overall education strategy.

Job Responsibilities

You will be responsible for the following:

Medical Officer Administration

  • Manage Medical Officer (MO) postings by coordinating onboarding, rotations, and placements for incoming MOs.
  • Coordinate MO onboarding, rotations, and postings in collaboration with departments and NUH.
  • Administer training and compliance processes for MOs, including mandatory courses and documentation.
  • Manage MO appraisals and ranking exercises in liaison with faculty and the Ministry of Health Holdings (MOHH).
  • Act as the primary point of contact for MO‑related queries.
  • Provide operational support to the MOPEX Director.

Residency Administration

  • Serve as the primary point of contact between residents and senior residents, faculty members, and relevant departments for assigned residency training programmes at AH.
  • Coordinate communication and administrative processes to support the smooth delivery of residency training activities.
  • Manage Programme Letter of Agreement (PLA) documentation, ensuring timely preparation, tracking, and compliance.
  • Administer faculty appointment letters in accordance with institutional and training requirements.

Procedural Courses Coordination & Onsite Support

  • Manage procedural course schedules, registrations, and logistics.
  • Ensure training resources are available and fully functional.
  • Provide onsite operational support for course delivery.

Other Roles

  • Manage departmental administrative duties, including onsite support for teaching sessions, minute‑taking for meetings, and coordination of courses.
  • Participate in cluster‑led committees and activities.
  • Provide coverage across the Postgraduate Team as required.

Requirements

  • Degree in any discipline
  • 3 to 5 years work experience in an administrative related role, preferably in an educational/ healthcare institution
  • Possess excellent oral and written communication skills with the ability to confidently engage and consult with senior level internal and external stakeholders
  • Strong organizational ability and high attention to details
  • Self-driven with a high level of autonomy and yet be a team player simultaneously
  • Able to set priorities, multi-task, well organized, meticulous and thorough in monitoring projects and providing administrative support
  • To be proactive and demonstrate creative, innovative to problem solving
  • Willingness to adopt flexible work hours if needed
