Job Description

The Logistics function plays a central role in enabling Esplanade's programmes and productions to be well supported from artist arrival to departure. It involves coordination across programming, venues, customer experience, technical production, EBM, security and finance etc departments.

The Assistant Manager/Manager, Logistics is committed to hospitality and is responsible for the team's day-to-day operations including supervision of Logistics Assistant and casual Artist Laison Officers, key vendor relationships, and engaging proactively with other departments to ensure seamless cross-functional coordination.

KEY RESPONSIBILITIES

  • Supervise/Lead the Logistics team's day-to-day operations – assigning duties, managing workload across the programming calendar, including the supervision of the Logistics Assistant, providing clear direction, regular feedback, and day-to-day guidance to ensure tasks are executed accurately and on time.
  • Engage, brief, deploy, and supervise Artist Liaison Officers (ALOs) assigned to performances and programmes, ensuring ALOs are well-prepared and performing to Esplanade's standards.
  • Monitor team performance and flag concerns or development needs to the Head, Project & Quality Management (HPQM).
  • Oversee and execute the end-to-end management of artist logistics for Esplanade's programmes – including air travel, ground transport, hotel accommodation, airport facilitation, freight coordination, and visa support.
  • Serve as a primary point of contact for visiting artists, production teams and artist representatives to ensure all artist logistics arrangements are accurately planned, confirmed, and executed in a timely manner, and that artist riders and contract requirements are fulfilled.
  • Maintain Esplanade's standards of artist hospitality, ensuring that the experience of visiting artists reflects Esplanade's reputation as a leading performing arts centre.
  • Coordinate and ensure the operational delivery of FOH hospitality, working closely with catering vendors for backstage catering, artist receptions, welcome functions, and foyer bar support, ensuring arrangements are executed to the required standard for each event.
  • Manage day-to-day relationships and procurement with key operational vendors including transport providers, freight forwarders, hotels, caterers, and other service providers, ensuring service quality, value for money, and contractual compliance.
  • Review and verify vendor invoices, coordinate with Finance on payment processing, and maintain accurate records of procurement commitments and expenditure.
  • Plan and manage the Logistics operating budget, monitor expenditure against approved limits, and contribute to annual budget planning for the function.

JOB REQUIREMENTS

  • Diploma/ Degree holder, preferably in business, arts management, hospitality, event management, or a related discipline.
  • Minimum 4 years of relevant experience in operations, event management, arts administration, or a related field, with some experience in a supervisory or team coordination role.
  • Experience in vendor management, procurement coordination, and budget management.
  • Experience in a performing arts, cultural, hospitality, or public sector environment is strongly preferred.
  • Able to lead and supervise a team in a demanding environment.
  • Hands-on and operationally grounded including working alongside the team in day-to-day operations as part of a lean structure.
  • Good organisational and coordination skills, with the ability to manage multiple concurrent tasks and respond to changing operational priorities.
  • Strong interpersonal and communication skills able to work effectively with internal departments, external vendors, visiting artists, and other stakeholders.
  • Meticulous attention to detail in operational execution, documentation, and record-keeping.
  • Proficiency in Microsoft Office suite.
  • Irregular working hours, including evenings and weekends, will be required in support of Esplanade's programming calendar and operational commitments.
