Overview
Reporting to the Executive Manager, the Assistant Manager / Manager plays a key role in conceptualising, planning, and leading large-scale community events, including signature events with expected crowd attendance exceeding 40,000 participants.
The role requires strong strategic planning, stakeholder management, and operational execution capabilities to deliver safe, impactful, and memorable events that strengthen community engagement and organisational brand presence.
Roles & Responsibilities
Event Conceptualisation & Strategy
- Conceptualise and develop large-scale community and signature events aligned with organisational objectives and community needs.
- Lead the planning and execution of signature events with crowd attendance exceeding 40,000 participants.
- Develop event proposals, creative concepts, themes, and programming frameworks.
- Prepare comprehensive project plans, timelines, budgets, risk registers, and governance frameworks.
Event Planning & Execution
- Oversee end-to-end event management including programme curation, site planning, production, logistics, crowd management planning, and operations.
- Develop detailed operational plans covering security, traffic management, emergency response, and business continuity.
- Lead rehearsals, technical runs, and on-site command and control during event days.
- Ensure compliance with all regulatory requirements, permits, licenses, and safety standards.
- Work closely with relevant authorities and agencies to secure necessary approvals.
- Legal & Procurement Management
- Manage end-to-end procurement processes in accordance with organisational procurement policies and governance requirements.
- Prepare tender specifications, evaluation criteria, and approval papers for vendor appointments.
- Lead evaluation of proposals and recommend contract awards in compliance with financial regulations.
- Draft, review, and manage contracts, agreements, memoranda of understanding, and sponsorship agreements in consultation with legal advisors where required.
- Ensure contractual compliance by vendors and service providers, including monitoring deliverables and service level agreements.
- Identify and mitigate legal and contractual risks associated with large-scale public events.
- Maintain proper documentation and audit trails for procurement and contract management processes.
Stakeholder & Partner Management
- Engage and manage relationships with government agencies, community partners, sponsors, grassroots organisations, and service providers.
- Serve as the key liaison with internal departments (e.g. legal, finance, communications, operations) to ensure cross-functional alignment.
- Facilitate sponsorship acquisition and partnership collaborations where required.
- Manage VIP engagement, protocol arrangements, and official representation where applicable.
Budget & Financial Management
- Develop and manage event budgets, ensuring cost control and financial accountability.
- Monitor expenditures and ensure adherence to approved budgets.
- Prepare financial reports, funding proposals, and post-event reconciliations.
- Ensure compliance with internal financial controls and audit requirements.
Communications & Public Engagement
- Collaborate with communications teams on publicity strategies, media engagement, and outreach campaigns to drive attendance and awareness.
- Oversee event branding, marketing materials, and public information dissemination.
Evaluation & Reporting
- Conduct post-event evaluations and prepare detailed reports including attendance analysis, stakeholder feedback, financial reconciliation, risk assessment review, and recommendations.
- Analyse outcomes and implement improvements for future editions of signature events.
Requirements
- Bachelor's degree in Events Management, Marketing, Business or equivalent.
- Min 4 - 8 years of relevant related working experience preferred
- Proven track record of successful events execution
- Demonstrated success working with clients, stakeholders, and brands.
- Demonstrated experience handling procurement processes, contract management, and governance compliance.
- Experience working in a regulated environment will be an advantage.
- Ability to manage large-scale operations and respond effectively under pressure.
- Excellent stakeholder engagement and negotiation skills.
- Strong project and programme management skills.
- Sound understanding of procurement policies, contract management, and regulatory compliance.
- Strong financial acumen and governance awareness.
- Strong problem-solving, analytical, and decision-making capabilities.
- Willingness to work evenings, weekends, and public holidays as required.
- 1-year contract with the possibility to extend for another year based on performance
