A leading public sector research organisation is seeking a meticulous and proactive individual to support its grants management and secretariat functions. This role offers the opportunity to work in a dynamic, mission-driven environment supporting research and innovation initiatives.

Job Description
As an Assistant Manager, you will play a key role in coordinating end-to-end grants management processes and supporting governance and decision-making workflows. You will work closely with internal stakeholders and Principal Investigators (PIs) to ensure timely, accurate, and compliant grant submissions.

Key Responsibilities

  • Coordinate and support the full lifecycle of grants management, ensuring accuracy, completeness, and adherence to timelines
  • Act as a key liaison between headquarters and Principal Investigators (PIs), ensuring clear and timely communication
  • Track and manage multiple grant timelines concurrently, ensuring milestones and submission deadlines are met
  • Plan and allocate sufficient time for proposal completeness checks and internal reviews
  • Coordinate endorsements and obtain necessary signatories in compliance with governance requirements
  • Maintain proper documentation and records to ensure auditability and traceability
  • Monitor progress across workstreams and proactively follow up to mitigate delays
  • Provide secretariat support, including preparation of meeting papers, coordination of meetings, and tracking action items
  • Organise and manage logistics for high-level meetings with internal and external stakeholders
  • Support data consolidation, tracking, and reporting for grant-related activities

Job Requirements

  • Highly meticulous with strong attention to detail, particularly in document and data review
  • Strong sense of ownership and accountability in managing tasks end-to-end
  • Able to work effectively in a deadline-driven environment with a strong sense of urgency
  • Excellent organisational and coordination skills, with the ability to manage multiple complex timelines
  • Proficient in Microsoft Office applications (especially Excel and Word)
  • Strong communication and stakeholder management skills
  • Able to work independently and exercise sound judgment in a fast-paced environment

Preferred Qualifications

  • Degree in Biomedical Sciences, Finance, Business Management, or related fields
  • Prior experience in grants management, secretariat functions, or multi-stakeholder coordination roles
  • Familiarity with governance, compliance, or structured approval processes
