We are seeking a proactive and detail-oriented professional to support the smooth operations of a multi-site healthcare environment. This role oversees facilities management, equipment maintenance, renovation projects, contractor performance, and operational support to ensure safe, efficient, and compliant day-to-day operations.

Key Responsibilities
- Manage daily facilities operations across multiple sites, ensuring compliance with all statutory, safety, and operational regulations.
- Work closely with contractors and vendors on maintenance, repairs, and service delivery standards.
- Support budget planning, outsourcing exercises, tender processes, and contract awards.
- Develop, monitor, and review service KPIs to drive contractor accountability and performance.
- Ensure preventive maintenance, corrective maintenance, and ad-hoc works are completed to required standards.
- Conduct regular site inspections and vendor performance reviews to identify improvement opportunities.
- Gather user requirements for facilities enhancement works and ensure timely delivery within approved budget.
- Support the maintenance and servicing of biomedical, physiotherapy, dental, and clinical equipment.
- Coordinate repair schedules, preventive maintenance, and vendor servicing activities.
- Manage renewals of equipment licences, certifications, and regulatory compliance requirements.
- Coordinate project activities, meetings, and progress tracking for upgrading, renovation, and new works.
- Prepare project proposals, budgets, cost estimates, and approval papers.
- Ensure renovation and improvement works are completed on time, within budget, and with minimal operational disruption.
- Maintain project documentation including SOPs, drawings, schedules, databases, and status reports.
- Process claims, invoices, and payment documentation while liaising with finance, consultants, and contractors.
- Prepare budget utilisation reports, evaluation papers, progress reports, and management presentations.
- Interpret plans, specifications, and contract terms for stakeholders, consultants, and vendors.
- Support quotation / tender / RFP exercises, evaluation, and award recommendations.
- Monitor project risks and ensure mitigation plans are in place to protect ongoing business operations.
- Coordinate operational readiness across pre-construction, construction, handover, and post-completion phases.
Requirements
- Min. Degree in Architecture, Building Management, Facilities Management, Engineering (Civil / Structural / Mechanical / Electrical), Building Science, or related discipline.
- Minimum 2-3 years of relevant experience in facilities operations, building management, project coordination, or infrastructure support.
- Familiarity with AutoCAD, Microsoft Office, and project management software is advantageous.
- Knowledge of Workplace Safety & Health (WSH) requirements preferred.
- Strong communication, stakeholder management, and interpersonal skills.
- Able to manage multiple priorities in a fast-paced environment.
- Independent, organised, and detail-oriented with strong follow-through.
- Positive attitude and strong team player mindset.
