Job Description
We are seeking a responsible and organised Assistant Manager / Executive Assistant to Director to support the Director in daily business and administrative matters.
The company operates in the port and marine services industry and has more than 100 employees.
The successful candidate will be responsible for coordinating the Director's schedule, following up on assigned tasks, maintaining proper records and documentation, and providing general administrative and executive support.
Key Responsibilities
- Manage and coordinate the Director's daily schedule, appointments and business meetings.
- Record, organise and follow up on tasks and instructions assigned by the Director.
- Monitor the progress of assigned tasks and provide timely updates to the Director.
- Organise and maintain records of completed tasks, documents and business correspondence.
- Prepare and draft routine letters, reports, presentations and other administrative documents.
- Assist with general administrative and coordination matters as required.
- Coordinate with internal departments and external parties on matters assigned by the Director.
- Assist the Director with day-to-day business arrangements and scheduling.
- Accompany the Director for business-related appointments or meetings when required.
- Perform other administrative and executive support duties as assigned.
Job Requirements
- Diploma or higher qualification in Business Administration, Management, Office Administration or a related discipline will be advantageous.
- Relevant experience in executive support, personal assistant, administrative or coordination roles will be advantageous.
- Strong organisational and time-management skills.
- Good written and verbal communication skills in English and Mandarin, as the role requires communication with the Director and relevant business stakeholders.
- Proficient in Microsoft Office and other common office applications.
- Able to handle confidential information with discretion.
- Able to work independently, prioritise tasks and follow up effectively.
- Strong attention to detail and good administrative skills.
- Possess a valid Class 3C driving licence and be able to drive for work-related purposes when required.
- Responsible, adaptable and able to work in a fast-paced business environment.

- Monday to Friday
- 8:30 AM to 6:00 PM
