Job Description

Reporting to the Corporate Services team, the incumbent will provide administrative and operational support across Corporate Services functions to ensure the smooth and efficient running of organisational operations.

Corporate Services & Administration

  • Provide general office administration support, including the management of office supplies, pantry provisions, stationery, and facilities-related matters.
  • Process and monitor invoices, expense claims, and payments through TenderBoard and other procurement systems.
  • Coordinate procurement and vendor-related administrative matters, including contract administration, documentation, and records management.

Corporate Secretariat & Governance Support

  • Assist in providing secretariat support for Board, Board Committee, and management meetings, including scheduling, logistics coordination, preparation of meeting notices, and collation of meeting papers.
  • Support the tracking and follow-up of action items arising from Board and Committee meetings.
  • Assist in maintaining governance records, including Conflict of Interest declarations, resolutions, and statutory documentation.

Human Resource Administration

  • Support recruitment activities, including interview coordination, candidate communications, and onboarding arrangements.
  • Assist with the onboarding and offboarding of permanent, contract, temporary staff, and interns, including the coordination of system access and other administrative arrangements.
  • Support the preparation of HR communications, including staff movement announcements and employee engagement communications.
  • Maintain accurate employee records and ensure proper documentation and e-filing of HR-related records.

General Corporate Support

  • Assist with organisation-wide events, staff engagement activities, and corporate initiatives as required.
  • Assist in the coordination and implementation of corporate projects and organisational initiatives, including tracking project timelines, coordinating meetings, monitoring action items, and maintaining project documentation.
  • Support project teams by liaising with internal and external stakeholders, preparing reports, and coordinating project-related administrative matters.
  • Ensure the proper filing and maintenance of organisational records (i.e. procurement related papers), governance-related records and documents.

Requirements

  • Diploma or Degree in Business Administration, Corporate Administration, or a related discipline.
  • Preferably 2-4 years of relevant experience in administration, corporate services, human resources, corporate secretariat, or project coordination functions.
  • Fresh graduates with strong organisational and administrative skills may also be considered.
  • Experience supporting Board or Committee meetings, governance activities, or corporate projects will be an advantage.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
  • Meticulous, organised, and able to maintain proper records and documentation.
  • Able to work under supervision, manage tight timelines, and follow established procedures.
  • Good interpersonal and communication skills.
