Job Description
The Assistant Manager (Boarding) oversees the full operational and administrative functions of Raffles Institution Boarding (RIB). The role carries direct supervisory responsibility over the boarding operations team and the Integrated Facilities Management (IFM) team, and holds budgetary oversight and accountability for RIB as an independently managed cost-centre. The Assistant Manager (Boarding) serves as the primary operational lead within RIB and reports directly to the HOD Boarding.
Administrative & Systems Responsibilities
- Oversee boarding admissions, documentation, records, and compliance processes
- Maintain and update the Boarder Management System, operational databases, and communication channels
- Support audits, compliance checks, and termly reporting cycles
- Manage contracts, finance coordination, and private boarder and guest group processes
- Oversee check-in processes for all boarders, including international scholars (RI & non-RI)
- Serve as the first point of contact for boarders, staff, and guests during office hours
Budgetary & Financial Oversight
- Management and maintenance of the boarding budget as a separate set of financial account, in accordance with MOE requirements (w.e.f. 1 Jan 2026) in consultation with HOD Boarding
- Oversee income and expenditure cycles, ensuring accurate financial reporting and accountability
- Review and approve procurement and vendor-related expenditures within delegated authority
- Maintain financial records and support annual budget planning processes
Integrated Facilities Management (IFM) Oversight
- Exercise supervisory responsibility over the IFM team sited within RIB, comprising one Team Leader and three Technicians
- Provide performance input and feedback on IFM staff for review and appraisal purposes
- Ensure facilities standards, maintenance schedules, and service quality within the boarding premises are upheld
- Liaise with Estate and external vendors on facilities-related matters specific to the RIB environment
Operations & Vendor Management
- Liaise with vendors and manage procurement processes for boarding operations
- Provide operational troubleshooting support to ensure smooth daily functioning of RIB
- Oversee RIB IT systems including the Boarder Management System, Facial Recognition System, and related operational infrastructure
Supervisory Responsibilities
- Directly supervise and manage the performance of boarding operations staff (Executive and Officer grades)
- Oversee staff scheduling, deployment, and day-to-day work allocation within the operations team
- Support the recruitment, onboarding, and development of operations staff
- Provide performance input on IFM staff in collaboration with the facilities management contractor
- Manage the rostering and deployment scheduling of Residential Assistants in coordination with HOD Boarding.
Programming & Engagement
- Support the planning and execution of boarding programmes, events, and termly community engagement activities
- Supports HOD (Boarding) on cross-functional boarding initiatives
Residential Responsibilities
- Provide pastoral support to assigned boarders and conduct regular well-being checks
- Collaborate with Residential Assistants and Boarding Mentors on nightly routines
- Occasional availability on weekends and outside of regular office hours is required as part of the role
- A staff apartment within the boarding premises will be provided in support of the residential nature of this role
Job Requirements
- Relevant diploma or degree in facilities management, hospitality management, business administration or related field is preferred
- Candidates should possess strong administrative, operational, and people management competencies, with demonstrable experience in facilities or residential operations management
- Experience in a boarding school, student housing, or institutional operations environment is an advantage
Candidates should be comfortable working in a residential setting and capable of exercising supervisory authority across a multi-functional team.
