Job purpose
To ensure Operations in Boys Town Shelter run smoothly in the area of manpower, promote a child safe environment and enhance the youth's general well-being.
Key Responsibilities and Accountabilities
FUNCTIONAL
. Assist Deputy Manager/ Manager, Shelter, in his/her duties, and to cover the Deputy Manager/ Manager, Shelter, in his/her absence.
. To work collaboratively with the Social Workers, Education Officers, Programmes Unit, in implementing youth relevant intervention programmes for our residents.
. To coordinate, monitor operations and to provide feedback, updates and recommendations to Deputy Manager/ Manager, Shelter on a regular basis.
. To maintain the fidelity of the Model of Care, and to conduct regular reviews and to track changes.
. To monitor Youth Specialists portfolio and their budget expenditure.
. To train and align new hires (eg Senior Youth Specialists/ Youth Specialists) to Boys Town SOPs.
. To provide coaching and guidance to Senior Youth Specialists/ Youth Specialists
. To plan and review daily/holiday programme for the residents
. To ensure the boys and staff follow BT Code of Conduct.
. To motivate and actively engage our residents to participate in the daily and Boys Town programmes.
. To review and print new Residents Handbook to new residents and explain rules and regulations in Boys Town.
. Work in close collaboration with the other staff of the Home and of the other components of Boys Town in matters pertaining to the welfare of our residents.
. To carry out any other assigned administrative duties in support of other programmes.
. To furnish the Deputy Manager/ Manager, Shelter, with the compiled monthly/quarterly report for MSF and Boys Town.
. Support/ conduct research when called upon for their respective functions.
. Maintain complete confidentiality of all information pertaining to the residents of Boys Town
. Be flexible in your working hours, according to the needs of the programmes and residents.
MANAGERIAL
. To assist the Deputy Manager/ Manager, Shelter, in ensuring compliance of policies and regulatory requirements of Boys Town, MSF and other governing bodies together with keeping proper documentation as required.
. To ensure that all documents (SOPs, Portfolio, Fire-drill Report, BOV Report) are ready for checking by the management.
. To assist in the planning and monitoring of budget and duty rostering for the Senior Youth Specialists/ Youth Specialists
. To assist the Deputy Manager/ Manager, Shelter, in providing orientation, mentorship, and supervision for new and existing Senior Youth Specialists/ Youth Specialists on their respective portfolios.
. To participate in mid-level management planning and discussions i.e. Interviewing of new Senior Youth Specialists/ Youth Specialists
. To assist Deputy Manager/ Manager, Shelter, and Head of Residential Services in the areas of CCTV review and investigation of offences.
. To assist Deputy Manager/ Manager, Shelter, in pocket money disbursement.
. To assist Deputy Manager/ Manager, Shelter, on the monthly duty roster of the unit.
. To participate in setting and tracking of annual KPIs for the respective portfolios.
. To contribute to policy making within the home by providing feedback to senior management.
ORGANIZATIONAL
. To contribute to policy making within the organization by providing feedback to senior management
. To participate actively in all fundraising activities as well as any other commitments that Boys Town undertakes.
. To work in close collaboration with other staff, department and components of Boys Town.
. The Executive Director and or his/her representative may assign you any other duties that are within reason for the benefit of the clients and/or Boys Town.
COMPETENCIES REQUIRED
. Executive functioning skills - planning, coordinating, organizing , implementing and evaluating
. Administrative - documentation, filing, report writing
. Understanding the impact of residential care on Children and Youth Persons (CYPs) and able to preempt and address the developmental needs of CYPs.
. Mentoring and Coaching Skills
. Communication - verbal & written
. Interpersonal - able to communicate and interact with people, both individually and in groups
Average Qualifications & years of relevant experience
. Diploma/ Degree (preferably in social work or psychology or equivalent qualification)
. Minimum of 3 years relevant working experience in residential setting preferred.
. Experience in people management (preferably)
. Resilience and is a team player.
. Proficient in MS Word, Excel, Powerpoint, Outlook.
