Summary
Perform a wide variety of office administration and inside sales support duties.
Core Responsibilities
1.Office Administration
. Front desk duties including answering and directing all incoming calls and visitors, coordination of daily office services, internal mail gathering, distribution and posting.
. Monitors and maintains adequate pantry, drinking water & stationery supplies
. Assists with organization of employee meetings by reserving meeting rooms, ordering meals, and notifying employees
. Office maintenance including aircons, fire extinguishers, coffee machines, copier machines & any others not listed
. Other duties as assigned
2.Accounting Administration
. Scanning of supplier invoices to corporate office
. Handles petty cash box, monthly Accounts Payable and quarterly petty cash reporting
. Quarterly GST reporting support
. Provides general support for Accounting, HR and for department managers as requested (if require)
3.Inside Sales Administration support:
. Prepare and Issue Systems Order Configuration Forms
. Serve as liaison between customers/reps/distributors and Cyber internal operations with regard to systems purchase orders
. Process RMA requests for Asia (except China), including checking of warranty expiry dates, repairs and calibration
. Coordinate demo shipments within Asia region. Attend to emails and ensure communication follow-up with internal and external customers)
Experience, Education and Competencies Required
1.Experience:
. Requires administrative office experience at least 2 years preferred
. Receptionist experience, professional front desk appearance, behaviour and phone etiquette.
. 1 to 2 years general Accounts Payable experience
. Min 3 years applicable experience in an office setting require
. Import/Export Logistics Experience with knowledge of Global shipping procedures
2.Education:
. High school diploma required, with some post high school education or training in general office work, AP, HR and/or inside sales admin duties is highly desirable
3.Competencies:
. Strong computer skills including expertise with Microsoft Word, Excel, and PowerPoint.
. Ability to deal with a wide variety of personality types effectively.
. Strong organizational skills, including the ability to multi-task effectively
. Data entry skills
. Excellent written and verbal communication skills
. Good math aptitude and problem-solving skills
. Ability to handle sensitive information in a confidential and discreet manner
. QAD knowledge a plus
