Role Summary:
The Executive Assistant to the CEO, APAC is a highly strategic, senior-level role that extends well beyond traditional executive support. This position serves as a critical operational partner to the Chief Executive Officer across the Asia-Pacific region, acting as a trusted liaison, project coordinator, and communications hub in a fast-paced, cross-cultural environment.

The successful candidate will combine impeccable organisational skills with sound business judgment, cultural intelligence, and proficiency in the Japanese dialect. In addition to executive support, this role carries direct ownership of high-profile corporate events, senior-level conferences, and regional leadership forums, requiring strong project management capabilities and creative problem-solving.

Key Responsibilities:
1. Strategic Executive Support

. Serve as a proactive partner to the CEO, anticipating needs and managing competing priorities across multiple time zones and stakeholder groups.

. Own and manage the CEO's complex calendar, including scheduling across APAC time zones, board meetings, investor calls, government engagements, and internal forums.

. Prepare, review, and edit high-stakes correspondence, briefing documents, board papers, presentations, and executive summaries in both English and Japanese.

. Screen and prioritise communications on behalf of the CEO, exercising sound judgement about escalation and delegation.

. Coordinate executive travel arrangements end-to-end: itineraries, visas, accommodation, ground transport,and duty-of-care compliance for regional and international travel.

. Maintain strict confidentiality with respect to sensitive business information, personnel matters, and strategic discussions.

2. Office of the CEO - Operations & Administration

. Manage and continuously improve operational workflows within the Office of the CEO, including document management, approval processes, and action-item tracking.

. Track and follow up on CEO directives, project deliverables, and cross-functional commitments, maintaining accountability across the APAC leadership team.

. Prepare and process expense claims, purchase orders, and budget submissions on behalf of the CEO's office.


. Liaise with the global EA network, Board secretariat, and executive support teams across the APAC region to facilitate coordination and information sharing.

. Manage relationships with key external stakeholders, including government offices, diplomatic missions, and senior client contacts, particularly in Japan.

3. Event Management

. Take end-to-end ownership of corporate events from concept through to post-event evaluation, including:

◦ CEO-hosted leadership summits, townhalls, and all-hands meetings (in-person and hybrid formats)

◦ Board dinners, investor briefings, and VIP client events

◦ External conferences, speaking engagements, and industry forums

◦ Regional off-sites and executive retreats

. Coordinate all logistical elements: venues, audio-visual production, catering, signage, translation and interpretation services, and attendee management.

. Manage event communications and invitations

. Lead post-event reviews, capturing feedback, measuring outcomes, and driving continuous improvement.


4. Event Coordination & Programme Support

. Coordinate participation in industry conferences and external engagements, including abstract submissions, speaking slot management, and delegate registration.

. Maintain a forward-looking event pipeline and annual calendar for the Office of the CEO, ensuring alignment with business priorities and strategic communications plans.

. Collaborate with Marketing, Communications, and Corporate Affairs teams to ensure consistent messaging and brand representation at all CEO-led events.

. Manage relationships with event management agencies, production companies, translation services, and other specialist vendors.


5. Stakeholder & Relationship Management

. Build and maintain trusted relationships with C-suite executives, board members, government officials, and key external partners across the region.

. Act as a credible and professional representative of the CEO and the organisation at all levels of internal and external engagement.

. Coordinate with the heads of APAC country offices to facilitate CEO engagements and ensure seamless operational support during regional visits.

. Manage sensitive stakeholder interactions with tact and discretion, particularly in high-context cultural environments such as Japan.

Desired Skills & Experience

. Minimum 8 years of experience in a senior executive assistant, chief of staff, or executive operations role, preferably supporting C-suite executives in a multinational environment.

. Knowledge of additional languages, such as Japanese (JLPT N1 written and spoken equivalent business level proficiency preferred) to liaise with Japanese-speaking stakeholders and support Japanese domestic market and operations.

. Proven track record of independently managing complex, multi-stakeholder corporate events from planning through delivery.

. Exceptional written and verbal communication skills ability to produce polished documents and correspondence independently.

. High degree of discretion, professionalism, and integrity when handling confidential information.

. Demonstrated ability to manage multiple competing priorities and work calmly under pressure in a fast-moving environment.

. Advanced proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) and collaboration platforms (Teams, Zoom, SharePoint).
