AI Automation Specialist

Term: 3 months (extendable to 6 months )

Reports to Founder & CEO

Business units: Rapid Physiocare Rapid Pilates Rapid Wellness

Purpose: Design and ship patient-journey automations with our vendor to lift conversions, cut admin time, and harden PDPA-compliant operations across clinics and Rapid Wellness.

Key outcomes (90 days):

LeadBooking 35%, No-show 5%

30% admin time saved per booking

Payment auto-match in Xero 95%

WhatsApp AI assistant live with safe handoff; event-driven integrations stable

Responsibilities:

Map intakebookingvisitbillingfollow-up; design orchestrations (n8n/Make).

Run vendor sprints; enforce webhook/API specs, SLAs, audit logs.

Integrate EMR/Plato, Xero, Carbonate; build monitoring & dashboards.

Ship two MVP flows (triagebooking; post-visitpaymentreview).

Train clinic super-users; publish weekly KPI and incident reports.

Must-haves:

47 yrs in product/ops/automation (healthcare preferred).

Hands-on with REST/webhooks, n8n/Make, WhatsApp Business API.

SQL/Sheets literacy; PDPA/MOH awareness; strong vendor management.

Nice-to-haves: Plato/EMR experience, Xero integration, basic Python/TypeScript.

30/60/90:

30 days: journey maps, KPI baseline, signed integration plan; first webhook live.

60 days: two flows in production.

90 days: reconciliation + roster-aware scheduling; dashboards; ROI report.
