The Administrative Team Support professional provides essential assistance to ensure that teams and departments operate efficiently and effectively. Key Responsibilities

  • Provide day-to-day administrative support to teams, managers, and departments.
  • Schedule and coordinate meetings, appointments, and team events, ensuring effective calendar management.
  • Prepare, edit, and maintain correspondence, reports, and internal documentation.
  • Manage filing systems, databases, and records to ensure accuracy, confidentiality, and accessibility.
  • Support travel arrangements, expense processing, and procurement activities for team members.
  • Assist with onboarding activities by preparing materials and coordinating logistics for new staff.
  • Serve as a point of contact for internal teams and external stakeholders, ensuring clear communication.
  • Track project timelines, team deliverables, and follow up on pending action items.
  • Support the preparation of presentations, spreadsheets, and reports for management and team meetings.
  • Contribute to process improvement initiatives that enhance team efficiency and workflow.
  • Ensure adherence to company policies, compliance standards, and administrative procedures.
  • Provide general office support, including handling calls, messages, and inquiries as required.

Qualifications

  • High school diploma required; Associate's or Bachelor's degree in Business Administration, Office Management, or a related field preferred.
  • 15 years of relevant experience in administrative or office support roles.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic knowledge of office productivity tools.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills to engage with team members and stakeholders.
  • High attention to detail, accuracy, and confidentiality in handling documentation.
  • Strong interpersonal skills with the ability to work effectively in a collaborative environment.
  • Ability to manage multiple priorities under deadlines while maintaining professionalism.
  • Adaptability, reliability, and a proactive approach to problem-solving.
