Join our team for a dynamic role with an outsourced project. We are seeking a dedicated and detail-oriented individual to support the organization's partnership programmes, audit coordination, stakeholder management and administrative operations.
Key Responsibilities:
1. Programme Administration & Reporting
- Review and follow up on monthly report submissions to ensure completeness and accuracy.
- Conduct audit checks, clarify discrepancies with vendors, and finalize validated reports within stipulated timelines.
- Consolidate reports and supporting documents for filing and billing purposes.
- Maintain proper documentation and update internal tracking sheets, including audit and utilization reports.
- Consolidate programme and vendor feedback for internal review.
2. Audit & Compliance Coordination
- Coordinate with internal stakeholders on audit matters and suspected fraudulent cases.
- Liaise with Account Managers and corporate partners to ensure timely resolution of operational or audit-related issues.
- Update audit reports while adhering to audit schedules.
- Maintain audit reports and prepare monthly incident reporting with proper documentation.
3. Partnership Support
- Support the tracking and monitoring of partnership agreements, fulfilments, and programme documentation.
- Coordinate with internal marketing teams on collateral requests by corporate partners.
- Liaise with third-party vendors on the delivery and replenishment of programme materials and assets.
- Assist in resolving customer service and operational issues raised by partners or stakeholders.
- Assist with programme activations, including coordination with the organization's marketing team for website updates.
4. Administrative & Operational Support
- Maintain proper filing systems for sponsorships, contributions, and partnerships.
- Assist with data verification, cleansing, and updates of Masterlist and administrative databases using Excel.
- Prepare monthly programme and operational reports.
- Provide meeting scheduling, meeting room bookings, calendar invitations, reminders, and meeting minute taking.
- Support outreach activities by sourcing and contacting prospective corporate partners.
- Any ad-hoc administrative and operational duties as assigned.
Requirements:
- At least Diploma or GCE A Level qualification
- Minimum 1 to 2 years of relevant work experience in administrative role or related discipline
- Proficiency in Microsoft Office tools (Excel, PowerPoint, Word, Outlook etc)
- Good interpersonal and communication skills
- Strong organizational, project coordination, customer service and time management skills
- Detail oriented and meticulous

Monday to Friday: 8.30am to 6.00pm
