Job Description

Job Summary

We are seeking a detail-oriented and responsible Administrative & Sales Support Executive to handle daily office administration, order processing, accounts receivable follow-up, and customer coordination.

The ideal candidate should possess strong organizational skills, accuracy in data handling, and the ability to coordinate across departments to ensure smooth daily operations and timely order fulfillment.

Key Responsibilities

1.Office Administration

  • Manage daily office administrative duties to ensure smooth operations.
  • Handle incoming calls, visitor reception, and mail/courier arrangements.
  • Manage procurement of office supplies and basic equipment maintenance.
  • Maintain fixed asset register and assist in monthly asset stock take.

2.Sales Administration & Order Processing

  • Generate Sales Orders (SO), Invoices, and Statements of Account (SOA) in the ERP system (Infotech).
  • Assist in preparing quotations and sales-related documentation.
  • Maintain and update customer information and account records in the system.
  • Coordinate delivery arrangements with warehouse and logistics teams.
  • Follow up on order status to ensure timely fulfillment.

3.Accounts Receivable Support

  • Issue monthly Statements of Account (SOA) to customers.
  • Follow up on outstanding payments and assist in basic debt collection activities.
  • Prepare accounts receivable and inventory breakdown reports.
  • Assist the Sales Manager in monitoring payment collection to ensure healthy cash flow.

4.Reporting & Internal Coordination

  • Prepare monthly sales reports, inventory reports, and accounts receivable reports.
  • Ensure accuracy of sales and operational data.
  • Coordinate customer feedback with relevant internal departments.
  • Support the Sales Manager in daily operational matters.

Requirements

  • Diploma or higher qualification in Business Administration, Accounting, Logistics, or related discipline preferred.
  • 2-3 years of relevant experience in administrative or sales support roles.
  • Familiar with Infotech system and order processing workflow is an advantage.
  • Basic knowledge of accounts receivable handling.
  • Proficient in Microsoft Excel (basic reporting functions).
  • Good communication and coordination skills.
  • Responsible, detail-oriented, and able to handle multiple tasks efficiently.
