Job Description

We are sourcing on behalf of a reputable landscape and construction company that is expanding its team and looking for a highly competent, proactive, and independent Admin cum HR cum Finance Executive.

In this role, you will play a vital part in ensuring daily operations run smoothly, making a meaningful impact on project delivery and overall business success by overseeing administrative functions, supporting HR and payroll processes, managing financial documentation, maintaining well-organised digital and physical records, and coordinating scheduling and operational activities across multiple projects.

Key Responsibilities:

1. Administrative Functions

  • Oversee daily office operations and ensure smooth administrative workflow.
  • Manage documentation, filing systems (physical & digital), and company records.
  • Handle correspondence, email drafting, and communication with clients, vendors, and authorities.
  • Prepare reports, contracts, quotations, and official letters professionally.
  • Liaise with external stakeholders (banks, auditors, government agencies, suppliers, etc.).
  • Maintain office supplies, equipment, and general office management.

2. Human Resource Functions

  • Handle full-spectrum HR duties including recruitment, onboarding, and offboarding.
  • Coordinate job postings, candidate screening, interviews, and hiring processes.
  • Manage employee records, contracts, and HR documentation.
  • Process payroll, leave management, and employee claims.
  • Ensure compliance with Singapore labor laws and MOM regulations.
  • Handle work pass applications, renewals, and cancellations (WP, S Pass, EP).
  • Liaise with government agencies (MOM, CPF Board, IRAS).
  • Draft HR letters, policies, and internal communications professionally

3. Finance & Accounts Functions

  • Handle Accounts Payable (AP) and Accounts Receivable (AR).
  • Prepare invoices, receipts, and payment tracking.
  • Perform bank reconciliation and maintain financial records.
  • Assist with monthly financial reports and cash flow tracking.
  • Liaise with external accountants, auditors, and tax agents.
  • Ensure compliance with IRAS and statutory requirements.
  • Monitor company expenses and support budgeting processes.

Requirements:

Core Competencies

  • Strong working knowledge across Admin, HR, and Finance functions.
  • Ability to work independently with minimal supervision.
  • Highly resourceful and solution-oriented.
  • Strong attention to detail and organizational skills.
  • Professional communication and writing skills.

Experience & Qualifications

  • Minimum 3-5 years of relevant experience in a similar multi-functional role.
  • Prior experience in SME environment preferred (construction industry advantageous).
  • Familiar with Singapore compliance requirements (MOM, CPF, IRAS, ACRA).
  • Experience handling work passes, payroll, and basic accounting is essential.
  • Diploma/Degree in Business Administration, HR, Accounting, or related field.

Language Requirement

  • Fluent in English (spoken & written).
  • Proficiency in Mandarin is required to communicate effectively with Mandarin-speaking clients, workers, and stakeholders.
