Work location: Near Buona Vista
Work hours: Monday to Friday, 8.30am to 6.00pm
Responsibilities:
- Perform checks on case files to ensure accuracy and completeness of records.
- Maintain accurate and timely updates of records movement within the internal records management system for ease of tracking and retrieval.
- Ensure all loose documents created or returned by departments are scanned within 24 hours of receipt.
- Conduct quality checks on scanned and indexed records in accordance with established scanning guidelines.
- File records pending scanning according to established procedures to ensure efficient retrieval.
- Maintain proper organization and housekeeping of the records library.
- Update coding or classification labels on record folders for future archival purposes.
- Respond to phone calls from internal departments and follow up on related enquiries.
- Guide junior members to ensure smooth daily operations and achievement of performance targets.
- Support in photocopying or printing records upon official requests from authorized external parties.
- Assist in checking and tallying archived boxes during collection and delivery processes.
- Support in requisition of office supplies.
- Assist with internal system access or identification requests.
- Contribute to the preparation of monthly performance reports.
Key Requirements:
- Min. GCE O Level, A Level or Diploma Certificate in Business Administration or related fields
- Bonus if have min. 3 - 4 years experience in medical records within healthcare settings
- Computer literate with proficient use of MS Office 365 applications
- Works well in team setting and self-motivated
- Able to liaise in Mandarin Chinese to handle chinese-speaking stakeholders (internal & external).
