NIE invites suitable applications for the position of Administrative Manager and Personal Assistant in the Director's Office.
Responsibilities
- Provide administrative and executive support.
- Support in planning, organising, coordinating and executing institute-level strategic partnerships, collaborations and projects, including writing progress and other administrative reports.
- Plan, organise and execute all related activities with working committees for endowed professorships and relevant publications.
- Serve as Coordinator of NIE Leadership Development Programme.
- Plan and coordinate the engagement and hosting of Special Advisors to Senior Leadership.
- Plan and organise institute-level overseas trips with the aim of building strategic partnerships.
- Serve as NIE Contracts Administrator for NTU Legal Support Office's (LSO) review of legal documents.
- Liaise with the NTU LSO and NIE units regarding NIE's Memorandums of Understanding, Memorandums of Agreement, research agreements and other types of agreements that may come through.
- Support the Director's Office in HR and Finance matters, leave administration, office operations and projects.
- Support in coordinating communications and work between administrative units under the Office's purview.
- Any other tasks assigned.
Requirements
- A University degree.
- At least 2 to 3 years relevant working experience working experience in an educational institution is preferred.
- Excellent conceptualising, analytical and writing skills.
- Strong organisational, administrative and communication capabilities.
- Responsive, meticulous, independent, resourceful, responsible and a good team player.
- Proficient in Microsoft Office applications, use of Co-pilot and other AI tools to facilitate administrative work would be advantage.
- Adaptable to change, able to work under pressure and to meet tight timelines.
- Interest in self-development, to learn and acquire and share new knowledge.
