Job Description

Administrative Duties

  • Handle general office administration and documentation
  • Prepare letters, memos, reports, and filing
  • Manage incoming calls, emails, and correspondence
  • Maintain proper records and filing systems
  • Schedule meetings and coordinate appointments
  • Assist in purchasing office supplies and inventory control
  • Manning of Company's administration (key register list, store inventory list, insurance list, inventory list, equipment list, vehicle list etc)
  • Manning of helpdesk phone
  • Liaising or sourcing of vendors or suppliers for information

Finance Duties

  • Prepare invoices, purchase orders, and payment vouchers
  • Monitor accounts payable and accounts receivable
  • Assist in monthly bank reconciliation
  • Record daily financial transactions and data entry
  • Process staff claims and petty cash
  • Follow up on outstanding payments from clients
  • Support month-end closing and audit documentation
  • Maintain accurate financial records and reports

Other Responsibilities

  • Liaise with suppliers, clients, and internal departments
  • Ensure compliance with company procedures and finance policies
  • Perform ad-hoc duties assigned by management

Requirements:

  • Minimum GCE O Levels /NITEC/Diploma and above
  • Proficient in MS office applications
