About the Role

My client is seeking a motivated and organised Administrative Executive to provide administrative and operational support within a social service environment. The role involves coordinating case-related tasks, assisting with stakeholder enquiries, managing documentation, and supporting the smooth running of programmes and services.

This position is ideal for individuals who are detail-oriented, people-centred, and passionate about contributing to meaningful social support work.

Key Responsibilities

Administrative & Operational Support

  • Provide day-to-day administrative support to the team.

  • Maintain documentation, filing systems, and perform data entry.

  • Prepare correspondences, reports, meeting minutes, and presentations.

  • Coordinate logistics for meetings, briefings, workshops, and programme activities.

  • Support procurement processes and maintain inventory of office supplies.

Casework / Programme Support (Non-Frontline)

  • Assist in case documentation and updates to case tracking systems.

  • Handle referrals, appointment scheduling, and processing of case-related documents.

  • Liaise with internal teams, community partners, and external agencies for follow-ups.

  • Collate information for reports, audits, and programme reviews.

Customer & Stakeholder Engagement

  • Respond to enquiries via phone, email, or walk-ins in a professional manner.

  • Provide basic assistance and direct stakeholders to appropriate services.

  • Maintain timely and clear communication standards.

Data & Reporting

  • Maintain databases with accuracy and confidentiality.

  • Generate reports, statistics, and dashboards as needed.

  • Support compliance with data governance and audit requirements.

Requirements

  • Bachelor's Degree in Psychology, Social Work, Counselling, Social Sciences, or related fields.

  • Strong organisational and administrative skills with good attention to detail.

  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and digital systems.

  • Good interpersonal and communication skills able to engage diverse groups.

  • Able to work independently and as part of a team.

  • Prior experience in social service or administrative roles is an advantage.

Contract & Work Arrangement

  • Contract Duration: 1-year

  • Work Hours: Monday to Friday, office hours

  • Location: Caldecott
