Role Overview
The Administrative Executive supports daily office operations and ensures a smooth, organized, and professional working environment.
Key Responsibilities
Front Office & Coordination
- Handle front-desk duties, including receiving visitors, clients, and deliveries
- Manage mail and courier services
- Maintain meeting rooms and common areas
- Manage visitor registration, access cards, and office keys
Office Administration & Operations
- Support daily office operations and ensure smooth workflow
- Coordinate with vendors for office maintenance, cleaning, and services
- Manage office supplies, pantry items, and stationery
- Support workplace safety and emergency procedures (e.g. fire warden duties)
- Assist with invoice processing, expense tracking, and staff claims
- Act as a point of contact for staff on office-related matters
- Maintain staff records, internal communications, and office notices
- Support company events, meetings, and internal activities
- Handle ad-hoc administrative tasks as required
Requirements
- Minimum GCE O-Level / Nitec / Diploma
- 2-4 years of relevant administrative experience
- Good communication and interpersonal skills
- Organized, detail-oriented, and able to multitask
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Responsible, proactive, and able to work independently
